Job description

Specific Job Functions:

  • Provide the highest level of customer service to all guests.
  • Answer multi-line phone system to manage the reservations queue, assist calls and transfer callers to other departments as necessary.
  • Assist with maintaining the website administrative system with hotel promotions for transient, wholesale, convention and travel agents for TI
  • Monitor and maintain rate parity, room allotment and rate availability across all distribution channels
  • Monitor and audit bookings across all distribution channels to ensure reservation accuracy across all distribution channels
  • Process and input Convention/Wholesale rooming lists sent from meeting planners and wholesale companies for future groups.
  • Act as a liaison between the reservations department and meeting planners or wholesale companies regarding questions pertaining to their specific groups.
  • Communicate effectively with Leisure Sales regarding wholesale room blocks set aside for tour operators to sell as packages.
  • Monitor cutoff dates to prevent convention groups from booking at their convention rate, and group blocks effectively.
  • Review details of the convention booking recaps, such as group arrival and departure dates, number of rooms the group will hold and their rate to ensure all pertinent information is in the computer system.
  • Responsible for changing, canceling, and reconfirming existing reservations as pertains to groups and/or wholesale reservations.
  • Send guest correspondence as needed.
  • Performs other duties as directed.

Qualifications:

  • Strong verbal and written communication skills necessary.
  • Must possess the ability to multi-task and perform well under pressure.
  • Must be detail oriented and self-motivated; able to start and finish projects with limited supervision
  • Creative problem solving with the ability to anticipate, recognize, evaluate and resolve potential difficulties a must
  • Excellent organizational skills with the ability to work on multiple projects.
  • Experience with multi-line phone systems, fax, and copier machine preferred.
  • Proficient with computer software including Microsoft Office Word, Excel, PowerPoint, and the Internet
  • Ability to learn new computer systems.
  • Extensive data entry experience preferred.
  • Flexible schedule a must be prepared to work, days, nights, weekends and holidays
  • 1 to 2 years’ room reservations or front desk experience preferred.
  • 1 to 2 years’ customer service experience preferred.
  • One year of accounting/finance experience preferred
  • High school diploma required.
