Job description

We are seeking a motivated and detail-oriented Junior Contract Administration Specialist to support our government contracting team. This role is ideal for someone early in their contracting career who is eager to learn federal acquisition processes, assist with contract documentation, and support day-to-day contract administration activities. The specialist will work closely with senior contract administrators, program managers, and government stakeholders to ensure compliance with applicable regulations, policies, and contract requirements.

Key Responsibilities

Contract Administration Support

  • Assist in the preparation, review, and maintenance of contract files, modifications, task orders, and related documentation.
  • Support the tracking of contract deliverables, funding, period of performance, and key milestones.
  • Help ensure compliance with FAR, DFARS, agency supplements, and internal company policies.
  • Maintain accurate and organized contract records in accordance with government and company standards.

Documentation & Reporting

  • Draft and edit routine correspondence, contract summaries, and internal reports.
  • Assist with data entry into contract management systems and government portals.
  • Support audit readiness by ensuring documentation completeness and accuracy.

Communication & Coordination

  • Coordinate with internal teams (finance, HR, program management) to gather required contract information.
  • Communicate with subcontractors to collect documentation, monitor compliance, and support subcontract administration tasks.
  • Participate in internal and external meetings, taking notes and tracking action items.

Compliance & Process Support

  • Assist with NDA processing, teaming agreements, and subcontract documentation.
  • Support proposal teams by gathering contract data, reviewing solicitation requirements, and preparing administrative sections.
  • Help identify potential risks or compliance issues and escalate them appropriately.

Required Qualifications

  • Bachelor's degree in Business Administration, Finance, Public Administration, or related field; or equivalent experience.
  • Strong attention to detail and ability to manage multiple tasks in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office (Word, Excel, Outlook, Teams).
  • Ability to learn and apply federal contracting principles and regulations.

Preferred Qualifications

  • Internship or 1-2 years of experience in government contracting, procurement, or administrative support.
  • Familiarity with the FAR/DFARS or other federal acquisition frameworks.
  • Experience with contract management systems or government portals (e.g., SAM.gov, PIEE, FPDS).
  • Interest in pursuing professional certifications (e.g., NCMA's CCMA, CFCM, CPCM).
