Job description

Company Overview

Pantheon Data (a Kenific Holding company) is a private, small business based in the Washington, DC, area. Pantheon Data was founded in 2011, initially providing acquisition and supply chain management services to the US Coast Guard. Our service offerings have grown in the past ten years, including infrastructure resiliency, contact center operations, information technology, software engineering, program management, strategic communications, engineering, and cybersecurity. We have also grown our customer base to include commercial clients. The company has used this experience to expand our service offerings to other agencies within the Department of Homeland Security (DHS), the Department of Defense (DoD), and other Federal Civilian Agencies.

Position Overview

The Events, Protocol, and Exhibition Manager is responsible for the strategic planning, coordination, and execution of high-visibility events, distinguished visitor engagements, and conference/symposium participation for a high-visibility Navy customer. Operating within the Office of Corporate Communication, this role ensures that all engagements-whether internal ceremonies, leadership events, or large-scale external exhibitions, are executed with precision, professionalism, and adherence to Navy protocol.

Events and exhibitions are not simply logistical functions; they are strategic communication platforms that reflect the Navy's core values of honor, courage, and commitment. They provide opportunities to educate, build trust, foster partnerships, and reinforce the Command's identity with audiences ranging from internal personnel to senior leadership, industry partners, government officials, and the public.

This role requires a balance of operational excellence, protocol expertise, creative vision, and stakeholder coordination to deliver seamless, impactful experiences that align with Command priorities and enhance organizational reputation.

Responsibilities

  • Strategic Event Planning & Execution: Lead the conceptualization, planning, coordination, and execution of Command events and meetings, including ceremonies, leadership off-sites, all-hands calls, outreach initiatives, and high-level engagements.
  • Protocol Leadership & Distinguished Visitor Support: Provide subject matter expertise on military and government protocol, ensuring proper execution of events involving senior leaders and high-ranking U.S. and foreign dignitaries. Develop detailed itineraries, coordinate sequencing, and ensure adherence to customs and courtesies.
  • Exhibition & Symposium Management: Serve as the Command's lead for conferences, symposiums, and trade shows, overseeing booth design, logistics, staffing, and execution.
  • Experience Design & Audience Engagement: Design and deliver engaging event and exhibition experiences that combine visual, auditory, and environmental elements to create meaningful and memorable interactions.
  • Logistics & Operations Oversight: Manage all logistical aspects including venue coordination, audiovisual requirements, transportation, security access, equipment, and on-site execution.
  • Resource Allocation & Efficiency: Allocate personnel, equipment, and budget resources effectively to prevent duplication of effort and ensure cost-efficient execution.
  • Stakeholder Coordination & Collaboration: Collaborate with Government representatives, leadership offices, communication teams, technical experts, and external partners to ensure alignment and successful delivery of all engagements.
  • Brand Alignment & Messaging Integration: Ensure all events and exhibitions reinforce Navy branding, messaging, and identity, integrating multimedia elements such as digital signage, video, and graphics where appropriate.
  • Compliance & Risk Management: Ensure adherence to security protocols, safety requirements, and regulatory standards. Anticipate risks and develop contingency plans for dynamic or high-visibility environments.
  • Documentation & Reporting: Develop event plans, run-of-show documents, and required deliverables. Track execution, maintain records, and report outcomes, metrics, and lessons learned.
  • Continuous Improvement: Evaluate event and exhibition performance through feedback and metrics, applying insights to improve future planning and execution.

Required Skills and Experience

  • Bachelor's degree in Management, Hospitality or related field with at least six (6) years of experience in related task experience.
  • Demonstrated experience managing complex, high-visibility events and conferences, including those involving senior leadership or distinguished visitors.
  • Strong knowledge of military or government protocol, including distinguished visitor engagement procedures.
  • Experience overseeing conference and exhibition participation, including booth design, vendor coordination, and logistics.
  • Proven ability to manage multiple concurrent projects, with strong organizational, planning, and time management skills.
  • Experience in resource allocation and budget awareness.
  • Familiarity with audiovisual systems, multimedia integration, and event support technologies.
  • Excellent communication and interpersonal skills, with the ability to engage effectively with senior leaders, stakeholders, and external partners.
  • Ability to operate in structured, compliance-driven, and security-sensitive environments.
  • Strong problem-solving skills and ability to adapt quickly in dynamic, high-pressure situations.
  • Ability to work effectively remotely in cross-functional teams.
  • Ability to meet deadlines and produce quality work.
  • Proficient in Microsoft Suite software including Outlook, Word, Excel, SharePoint, and PowerPoint.

Clearance Requirements

Applicants selected will be subject to a security investigation and may need to meet eligibility requirements. Secret Clearance is required for continued employment.

Work Location: Washington Navy Yard; Onsite 5 days per week

  • If the position is remote or hybrid, you may periodically work from a Pantheon Data office location or client site.
