Litigation Assistant (Intellectual Property)

Raleigh, North Carolina – ONSITE


Williams Mullen is seeking an experienced, highly motivated Litigation Assistant to join our fast-paced, dynamic, and growing Intellectual Property Practice Group in our Raleigh office. This full-time, non-exempt position offers an exciting opportunity to become an integral member of a collaborative team supporting sophisticated intellectual property litigation and transactional matters.

The successful candidate will have 3 to 5 years of experience and a strong understanding of intellectual property law, litigation support, and docket management. This role is intended to be actively involved in all aspects of the firm's intellectual property practice and will support attorneys across multiple active litigation matters and intellectual property transactions.

The position requires demonstrated proficiency in electronic filing with the U.S. Patent and Trademark Office and U.S. courts, docket management and maintenance, preparation of client communications and supporting documents, development of filing templates, and advanced Microsoft Office skills, particularly in Word, Excel, and Outlook.

Because this role supports multiple litigation matters simultaneously, substantial experience with intellectual property litigation, including research, motions drafting and filing, discovery, and trial support, is highly valued.

The ideal candidate is proactive, detail-oriented, and professional, with exceptional interpersonal skills, sound judgment, and the ability to work independently while maintaining the highest level of confidentiality.


Key Responsibilities

• Prepares and proofreads complex correspondence and legal documents in an accurate and timely manner. Documents can include handwritten drafts, rough notes or dictated text from attorneys and paralegals.

• Prepares and files U.S. and foreign patent, trademark, and copyright applications and domain name registrations.

• Assists with preparing and filing responses to Office Actions and other prosecution-related filings.

• Prepares and forwards reporting letters and other client communications.

• Assists with managing and maintaining client intellectual property matter dockets.

• Contributes to due diligence projects and intellectual property status reports.

• Supports litigation activities, including researching, drafting, and discovery, trial, and appeal support.

• Researches and analyzes intellectual property databases.

• Analyzes foreign filing requirements and oversees the timely filing of formal documents, as well as collecting/overseeing documentation from clients.

• Organizes and maintains client and agency correspondence, legal documents, and attorney appointments and calendars.

• Answers the telephone and records and delivers messages promptly. Displays professional courtesy in answering telephones.

• Arranges appointments, notifies clients and others of appointments. Coordinates meeting arrangements, including catering and scheduling of conference rooms.

• Plans for and performs various support services as needed, including hand deliveries, requests for copy/duplicating services and travel arrangements. Coordinates filings.

• Types and submits attorney time sheets to Accounting in compliance with firm deadlines and procedures. Verifies related client/matter numbers and practice codes.

• Maintains client and firm files in accordance with Records Department procedures, such as routine billing records and account reconciliations.

• Prepares client bill drafts, final bills and cover letters.

• Prepares forms for expense reports, check requests and other financial-related documents.

• Reviews and routes incoming mail.
