WHAT WE ARE LOOKING FOR

The Quality Systems Coordinator plays a critical role in maintaining, strengthening, and continuously improving the company’s Integrated Management System (IMS), including the ISO 9001 Quality Management System. Reporting to the Quality Director, this role serves as a cross-functional partner, ensuring that quality processes, documentation, audits, and improvement initiatives are effectively implemented and sustained.
The Quality Systems Coordinator works closely with leadership, department stakeholders, and Wing Group subsidiaries to translate quality standards and regulatory requirements into practical, efficient, and compliant business processes. This role acts as a key resource for quality-related guidance, supports operational excellence initiatives, and provides data-driven insights to help leadership identify risks, close gaps, and drive continuous improvement across the organization.


ORGANIZATION FIT
The Quality Systems Coordinator reports to the Quality Director and has no direct reports. The role works closely with all departments and collaborates with other Wing Group subsidiaries to support the effective implementation and maintenance of Quality Management System (QMS) processes.


ESSENTIAL FUNCTIONS

  • Integrated Management System (IMS) & Operational Excellence
  • Support the day-to-day operation of the company’s ISO 9001 Quality Management System (QMS) as part of the Integrated Management System (IMS).
  • Partner with senior leadership to support strategy development and implementation related to the IMS, including document control, Non-Conformance Reports (NCRs), and Corrective and Preventive Actions (CAPAs).
  • Support control and maintenance of Controlled Unclassified Information (CUI) documentation, as required.
  • In collaboration with the Document Controller, administer the Business Document Library, including creating, maintaining, and updating quality documentation such as procedures, work instructions, and forms.
  • Administer the Internal Audit program by scheduling, planning, and conducting internal audits in accordance with the audit schedule. Utilize audit findings to collaborate with stakeholders and drive corrective actions and quality improvements.
  • Participate in and, as appropriate, lead operational and quality improvement initiatives. Analyze complex business problems and break them into manageable process improvement projects.
  • Collaborate with departmental stakeholders to understand operational challenges and identify opportunities to improve business processes and support organizational objectives.
  • Gather and document requirements through interviews, document analysis, workshops, surveys, and workflow analysis to support process improvements.
  • Design and/or support the implementation of end-to-end process improvements, including policies, key performance indicators (KPIs), reporting, and governance structures, to ensure efficiency, effectiveness, and compliance with regulatory and contractual requirements.
  • Report quality metrics, system gaps, risks, and improvement opportunities to senior leadership to support informed decision-making and resource planning.
  • Drive continuous improvement initiatives to enhance product quality, process consistency, and system effectiveness.
  • Create, update, and deliver training related to quality standards and QMS processes, working with departments to promote consistent understanding and application of quality requirements

QUALIFICATIONS/EXPERIENCE

  • Bachelor’s degree or equivalent combination of education and relevant industry experience.
  • Professional certification in Quality Assurance is preferred.
  • Minimum of 5 years of experience in Quality Assurance, Quality Systems, or a related field.
  • Extensive experience with ISO 9001 QMS; experience with AS9100 is a strong plus.
  • IRCA QMS Auditor/Lead Auditor Certification is an asset.

REQUIRED KNOWLEDGE, SKILLS, ABILITIES

  • Strong working knowledge of ISO 9001 and AS9100 standards.
  • Ability to read, interpret, and apply industry standards and regulatory requirements.
  • Continuous improvement mindset with strong problem-solving skills.
  • Excellent attention to detail and data analysis capabilities.
  • Proficiency with Microsoft Office, SharePoint, Windows-based applications, and internet tools.
  • Experience creating Power Automate workflows to support SharePoint processes is an asset.
  • Working knowledge of SQL queries is an asset.
  • Ability to conduct product, process, and system audits.
  • Strong written and verbal communication skills, including the ability to prepare professional reports and presentations.
  • Knowledge of ITAR regulations is preferred.
  • Ability to work independently, prioritize tasks, and drive actions to completion with minimal supervision.
  • Demonstrated integrity and willingness to serve as a strong advocate for quality in a fast-paced manufacturing environment.
