Our mission is to make specialty care more accessible, efficient, and equitable by improving operations at community care organizations, infusion centers, and specialty providers.
Job Overview:
The Intake Specialist is responsible for managing incoming referrals for specialty pharmacy and ambulatory infusion center (AIC) services. This role ensures accurate and timely processing of patient information, coordination of benefits, and initiation of services. The Intake Specialist serves as a key liaison between providers, patients, payers, and internal teams to facilitate a seamless onboarding experience and support timely access to therapy.
Responsibilities:
Your key responsibilities will include:
  • Referral Intake & Processing
    • Receive and review incoming referrals via fax, electronic portals, and provider communications
    • Accurately enter patient demographics, insurance information, and referral details into the system
    • Verify completeness of referral documentation, including clinical notes, orders, and supporting documentation
    • Ensure all required elements are obtained prior to benefits investigation and authorization
  • Patient & Provider Communication
    • Conduct welcome calls to patients, explaining services, next steps, and financial expectations
    • Communicate with referring providers to obtain missing or clarifying information
    • Maintain professional and timely communication with patients, caregivers, and healthcare providers
  • Insurance & Benefits Coordination
    • Initiate benefits investigation for pharmacy and infusion services
    • Identify payer requirements, coverage limitations, and prior authorization needs
    • Communicate findings to internal teams and escalate issues as needed
  • Authorization & Financial Clearance Support
    • Support prior authorization submission by ensuring accurate and complete intake documentation
    • Assist in gathering clinical documentation required for authorization approval
    • Coordinate with financial counseling teams to provide patient cost estimates and discuss assistance options
  • Program Enrollment & Assistance Support
    • Identify patients eligible for manufacturer assistance programs or copay support
    • Initiate enrollment processes for assistance programs as applicable
  • Workflow Coordination
    • Route referrals to appropriate teams
    • Track referral status to ensure timely progression through the intake process
    • Maintain documentation and audit trails in accordance with compliance standards

Qualifications:
To excel in this role, you should possess the following qualifications:
  • High school diploma or equivalent required
  • Minimum 1-3 years of experience in healthcare intake, medical office, specialty pharmacy, or infusion services
  • Experience with prior authorizations, benefits investigation, or revenue cycle processes preferred
  • Strong attention to detail and accuracy in data entry
  • Knowledge of insurance plans, including commercial, Medicare, and Medicaid
  • Ability to manage high-volume workload and meet turnaround time expectations
  • Excellent communication and customer service skills
  • Proficiency in EMR systems and pharmacy/infusion platforms (e.g., WeInfuse, CareTend, Brightree, or similar) preferred
