Job Description
Agave Pediatrics, a leading pediatric care provider, is excited to announce an opening for a dedicated Administrative Assistant. This full-time position is an exceptional opportunity for a skilled individual to contribute to the wellbeing of children by supporting our dynamic team. This role offers a chance to become part of a compassionate and professional environment, dedicated to providing top-notch care to kids across the valley. The position is based on-site and is not eligible for remote work. Our practice has five locations, and the chosen candidate will play a crucial role in ensuring smooth administrative operations across all sites under the guidance of the Practice Manager.
Duties and Responsibilities

  • Provide administrative support to ensure efficient operation of the office.
  • Assist with ad hoc project management to improve business operations
  • Manage provider and other staff schedules
  • Create and update employee files
  • Plan and execute company events and employee appreciation initiatives
  • Handle office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
  • Produce and distribute correspondence memos, letters, faxes, and forms.
  • Assist in the preparation of regularly scheduled reports.
  • Update and maintain office policies and procedures.
  • Order office supplies and research new deals and suppliers.
  • Provide general support to visitors.
  • Act as the point of contact for internal and external clients.
  • Travel between the practice's locations as required to support operations and attend meetings.
Requirements
  • Proven experience as an administrative assistant, virtual assistant or office admin assistant.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus.
  • Previous experience in healthcare strongly preferred.
  • Ability to travel between locations.
  • Comfortable with Microsoft Office, Excel, and various computer programs.
  • A candidate who can balance multiple responsibilities, problem-solve, and has good interpersonal and project management skills.
  • Bachelor's degree in Business, Administration or related field (preferred).
