Job description

Position Summary
The Insurance Accounting Senior Analyst is a dedicated Washington Park Risk Management position and the primary internal anchor of Washington Park's fiduciary control and financial reporting framework. The role owns the period-close reconciliation between Washington Park's Agency Management System (AMS) and ERP (SAP) general ledger, oversees the outsourced Bookkeeper Service operating within the AMS, and holds payment initiation authority for carrier remittances and commission releases from the premium trust account.
At launch, this role manages the parallel operation of AMS and SAP until such time a cutover to AMS as the sole transaction origination system occurs. Following the transition, this role owns the monthly AMS-to-SAP journal entry process and serves as the internal subject matter expert for AMS accounting functionality, GAAP brokerage requirements, and fiduciary compliance.
Key Job Responsibilities*
Treasury + Payment Execution
  • Receive and deposit incoming premium payments to the applicable Washington Park trust account. Upload deposit documentation to the AMS system file for the bank.
  • Review bookkeeper -prepared carrier payment instructions in AMS system and execute carrier remittances.
  • Review bookkeeper prepared commission release instructions and initiate trust-to-operating account transfers - understanding of compliance for trust account balance requirements is required.
  • Upload payments electronically to carriers accepting electronic remittance
  • Monitor Washington Park bank accounts daily for incoming deposits and outgoing remittances
  • Ensure trust account balances remain within FDIC insurance limits per account in accordance with state specific fiduciary standards.

AMS System + Bookkeeper Coordination
  • Serve as the primary day-to-day liaison to bookkeeping service - coordinating workflow, resolving discrepancies, and ensuring their transaction recording in AMS System is timely and accurate.
  • Coordinate with bookkeeper to ensure all SAP originated transactions are mirrored in the AMS on a regularly defined cadence; own the period close reconciliation between ERP and AMS systems.
  • Lead accounting flow implementation with bookkeeper service in preparation for transition to AMS as the transaction system of record.
  • Carrier broker/invoices and statements uploaded to appropriate location in AMS system as received.
  • Monitor the weekly customer accounts receivable and company/broker premium payable reports. Follow up on overdue premiums.
  • Review producer commission statements prepared by bookkeeper.

SAP General Ledger + Financial Reporting
  • Review bookkeeper's monthly financial statements (balance sheet, income statement, aged receivable detail, premium payable detail, producer commission payable detail)
  • Manages the parallel operation of AMS and SAP, including period-close reconciliation sign-off confirming both systems agree, until cutover to AMS as the sole transaction origination system occurs. Following the transition, this role owns the monthly AMS-to-SAP journal entry process - reviewing and approving the Bookkeeper Service export package and posting summarized GAAP journal entries to SAP
  • Reconcile the Washington Park operating accounts in SAP monthly
  • Understanding of GAAP reporting for brokerage to support parent company financial reporting

Fiduciary Compliance + Governance
  • Experience with trust account monitoring and cash flows.
  • Ensure AMS system records maintained by bookkeeper satisfy state requirements - receipts and disbursements recorded with amount, date, name of insured, insurer name and policy/binder number, and description of risk.
  • Ensure AMS system records are retained for a minimum of three years from fiscal year-end and are producible within 10 days of any DFS examination request.
  • Prepare, remit, and pay all surplus lines filings for policies written under Washington Park's surplus lines license, including client affidavits and all filings with the applicable state government.

Confidentiality
  • Maintain strict confidentiality of all client data in AMS.
  • Ensure GAAP summary reports and SAP journal entries adhere to confidentiality requirements
  • Operate exclusively within the Washington Park entity.

Required Knowledge, Education, Experience, Skills, andAbilities
  • Bachelor's degree in Accounting, Finance, or a related field.
  • Three or more years of experience in insurance agency accounting, trust accounting, or brokerage financial operations. Experience with premium trust account management, carrier remittances, and fiduciary compliance is strongly preferred.
  • Working knowledge of AMS systems including agency-billed and direct-billed transaction workflows, trust accounting ledger, bank reconciliation, and commission recording.
  • Understanding of insurance fiduciary obligations or willingness to develop this knowledge rapidly
  • SAP experience preferred
  • Experience coordinating with outsourced bookkeeping or accounting providers.
  • Strong attention to detail and process discipline
  • Proficiency in online banking platforms, ACH origination, and electronic payment processing.
  • Strong communication and organizational skills, with the ability to work independently in a small-team environment while maintaining rigorous compliance standards.

Work Environment / Job Conditions
  • This is a dedicated Washington Park Risk Management position. The analyst may not hold concurrent operational responsibilities with any other Barton Malow entity.
  • Travel for project and venture assignments may be required based on Company needs.
