Job description

Job Purpose:
The Product Compliance Coordinator supports insurance product compliance activities by preparing filing materials, maintaining filing records, updating compliance tracking systems, monitoring regulatory information, and supporting implementation documentation. The position follows established procedures, maintains accurate records, and escalates non-routine regulatory questions, objections, or filing issues to Product Compliance staff for review.
Job Responsibilities:
Product and Regulatory Filing Support - 40%
  • Supports timely and accurate product and regulatory filing activity by assembling filing packages, exhibits, and supporting documentation in accordance with established procedures.
  • Enters and maintains filing information in SERFF and internal systems as directed.
  • Organizes objection letters, approval notices, filing correspondence, and related documentation for Product Compliance review.

Filing Tracking and Implementation Support - 25%
  • Maintains filing schedules, approval logs, implementation trackers, renewal schedules, and related compliance records.
  • Tracks filing deadlines, approval dates, implementation dates, state filing requirements, and documentation needs.

Compliance Research and Monitoring - 15%
  • Monitors state insurance department bulletins, regulatory announcements, product-related regulator communications, and advisory organization communications.
  • Compiles summaries of regulatory changes that may affect products, reporting, or filing requirements for review by Product Compliance staff.
  • Maintains related research notes, filing schedules, and tracking logs in accordance with department procedures.

Compliance Documentation and Data Maintenance - 10%
  • Maintains accurate compliance documentation, reference materials, tracking systems, and departmental records.
  • Updates internal compliance databases and filing records to support product compliance activity, audit readiness, and reporting needs.

Department Operations and Development - 10%
  • Supports department operations by maintaining procedures, assisting with examination, audit, and reporting requests, and participating in process improvement or compliance automation activities as assigned.

Required
  • Associate degree or 1-2 years work experience in business administration, legal support, compliance, insurance operations, regulatory documentation or a related field.

Preferred
  • Experience working with regulatory, legal, compliance, or operational documentation.
  • Exposure to insurance product administration or compliance functions.
