Job description

An Assistant Office Manager at a car dealershipย supports the Office Manager/Controller in overseeing daily administrative and accounting operations, including processing vehicle deals, managing accounts payable/receivable, ensuring title compliance, and supervising clerical staff.

Key Responsibilities

  • Accounting & Finance Support:ย Assist with monthly closing, process vehicle deals, manage accounts payable/receivable, and post transactions to the general ledger.
  • Title & Registration:ย Ensure all vehicle titles, registrations, and lien information are accurate and processed promptly.
  • Daily Operations:ย Reconcile daily cash and credit card transactions, prepare bank deposits, and manage inventory files.
  • Staff Oversight & Training:ย Help the Office Manager train and supervise clerical staff, filling in for various administrative positions as needed.
  • Compliance & Reporting:ย Ensure adherence to company policies, state/federal regulations, and assist in preparing financial, tax, or payroll reports.ย 

Required Skills and Qualifications

  • Dealership Experience:ย Previous experience (2-5 years) in automotive dealership accounting or administrative roles is required.
  • Software Proficiency:ย Familiarity with dealership management systems (DMS) Dealertrack is highly valued.
  • Attention to Detail:ย Excellent organizational and clerical skills to manage documentation for hundreds of transactions.
  • Communication & Leadership:ย Ability to work with other departments (parts/sales/service/bodyshop) and lead staff effectively.ย
