Note: This role requires 4+ years of legal assistant experience supporting litigation attorneys in a law firm setting. Experience with probate, guardianship, estate administration, or general civil/equity litigation is strongly preferred. Candidates without law firm litigation backgrounds will not be considered.

JOB DESCRIPTION

  • Prepare, revise, proofread, and finalize legal documents including pleadings, motions, certifications, orders to show cause, probate and guardianship filings, and correspondence
  • Electronically file documents in state and federal courts including NJ E-Courts, NYSCEF, and PACER — with accuracy and attention to jurisdiction-specific requirements
  • Assist with guardianship and probate litigation matters: assembling filings, coordinating supporting documentation, and tracking court requirements and deadlines
  • Coordinate and maintain attorney calendars including court appearances, depositions, mediations, hearings, client meetings, and critical filing deadlines
  • Support matters involving fiduciary roles such as Executor, Trustee, and Guardian Ad Litem — tracking required actions and deadlines throughout
  • Assist with discovery management, document productions, exhibit preparation, and trial support
  • Communicate professionally with clients, courts, opposing counsel, and third parties regarding scheduling, document requests, and case status
  • Maintain organized physical and electronic case files across probate, general equity, and civil litigation matters
  • Enter attorney time, assist with billing coordination, and support overall matter management
  • Manage competing priorities across multiple attorneys in a fast-paced, deadline-driven environment


QUALIFICATIONS

  • 4+ years of legal assistant experience supporting litigation attorneys in a law firm environment required
  • Experience with probate litigation, guardianship, estate administration, or general civil/equity litigation strongly preferred
  • Bachelor's degree, paralegal certificate, or equivalent experience preferred
  • Strong knowledge of New Jersey court procedures and e-filing systems; NY and CT experience a plus
  • Proficiency in Microsoft Office (Word, Outlook, Excel)
  • Experience with document management systems such as NetDocuments, SurePoint, or similar platforms preferred
  • Strong organizational and time-management skills with the ability to juggle multiple priorities
  • Excellent written and verbal communication skills
  • High level of discretion in handling sensitive client and family matters
  • Ability to work independently while collaborating effectively with a team
