Litigation Legal Assistant, Insurance Defense

Harwood Lloyd, LLP is a boutique law firm based in Hackensack, NJ, with a growing New Jersey and New York practice.  We are looking to hire a full-time Litigation Legal Assistant to join us in our Insurance Defense Department.

ABOUT HARWOOD LLOYD, LLP

Harwood Lloyd, LLP is a full-service law firm that proudly serves regional and individual clients by offering the personal attention and service of a boutique firm with the experience and quality of a large national firm.

Today, our firm has grown to a roster of over 35 attorneys, each of whom has been carefully selected to ensure that we can meet the increasing demand for high levels of sophistication in every segment of the metropolitan area's expanding market. Harwood Lloyd's talent has been recognized by top publications in the legal industry, including US News - Best Lawyers in America "Best Law Firms," 201 Magazine's Top Lawyers, and Super Lawyers.

Our team shares the common goal of providing clients with high-quality customer service and excellent legal representation. We strive to create an environment where employees feel empowered to thrive personally and professionally.

LITIGATION LEGAL ASSISTANT, INSURANCE DEFENSE

As a Legal Assistant for our Insurance Defense practice, you work hand-in-hand with our attorneys to provide daily administrative support by composing discovery letters and pleadings, filing motions and organizing exhibits, and opening, maintaining, and organizing client files. Whether it's monitoring attorneys' calendars and answering client calls with professional telephone etiquette, or scheduling Zoom meetings, your accuracy, thoroughness, and attention to detail ensure that things are done right the first time.

RESPONSIBILITIES

  • Provide administrative and litigation support to attorneys handling insurance defense matters
  • Prepare, revise, proofread, and finalize legal documents, correspondence, pleadings, motions, and discovery materials
  • File documents electronically in state and federal courts
  • Manage attorney calendars, court deadlines, depositions, hearings, mediations, and trial schedules
  • Coordinate the service of pleadings and discovery documents
  • Organize, maintain, and update physical and electronic case files
  • Communicate professionally with clients, courts, opposing counsel, experts, vendors, and insurance carriers through emails or phone calls.
  • Assist with the preparation of trial binders, exhibits, subpoenas, and hearing materials
  • Review incoming emails, mail, and filings, and calendar all applicable deadlines
  • Support attorneys with document production, medical records, and litigation-related materials

Your positive, can-do attitude makes you a joy to work with for both clients and staff alike. While you are organized and love the satisfaction of getting things done, you are also a people person and enjoy interacting with clients, the courts, and colleagues throughout your workday. Though you are self-directed and able to work independently, you are also a team player who collaborates well with everyone at the firm to make things happen for our clients. You feel great about working for an ethical firm that prioritizes customer service.

QUALIFICATIONS FOR A LEGAL ASSISTANT

  • At least 2 years of litigation legal assistant experience working for a law firm
  • Insurance Defense strongly preferred
  • Experience with state court filings and court procedures for NY and NJ courts.
  • E-filling experience with NYSCEF and/or JEDS
  • Excellent organizational skills with the ability to multitask and manage time
  • Strong knowledge of Microsoft Office
  • Familiar with document management systems  (NetDocs, or similar).
  • Ability to work independently and as a team member
  • The urgency to provide above-and-beyond customer service and problem-solving
  • Professionalism and attention to detail
  • Ability to maintain confidentiality and sensitive information

Are you able to prioritize tasks effectively? Can you function under pressure from deadlines? Do you have excellent communication skills? Are you flexible and resilient in an ever-evolving atmosphere? Do you exhibit sound judgment? Can you maintain strict confidentiality? If so, then you might just be perfect for this Legal Assistant position!
