This is more than a receptionist role. You'll be an integral part of our operations, helping keep the office running smoothly, supporting attorneys and executives, and creating an outstanding experience for every client, every time.

What You'll Do

Front Desk & Client Experience

  • Greet clients, vendors, and guests with professionalism and compassion.
  • Answer and direct a multi-line phone system promptly and courteously.
  • Maintain a welcoming, organized, and professional reception area.
  • Prepare conference rooms for meetings, mediations, and depositions.
  • Receive and distribute incoming mail, packages, and deliveries.
  • Prepare outgoing mail and certified mail.
  • Scan, upload, and organize incoming documents within Filevine.
  • Process incoming faxes and ensure documents are saved to the appropriate case files.
  • Assist with client intake packets and general administrative support.

Executive Assistant Responsibilities

  • Manage calendars and scheduling for firm leadership.
  • Coordinate meetings, travel arrangements, and special events.
  • Prepare meeting agendas, presentations, and supporting materials.
  • Take meeting notes and assist with follow-up action items.
  • Draft correspondence, reports, and internal communications.
  • Assist with office-wide projects and strategic initiatives.
  • Track deadlines and help leadership stay organized.
  • Coordinate vendor relationships and office service providers.
  • Order office supplies and manage inventory.
  • Assist with employee appreciation events, firm functions, and community outreach initiatives.
  • Handle confidential information with the highest level of discretion.

Administrative & Legal Support

  • Notarize documents (or become a Colorado Notary if not already commissioned).
  • Assist attorneys and staff with administrative and legal projects.
  • Perform data entry and maintain accurate records.
  • Organize electronic and physical files.
  • Assist with special projects as assigned.
  • Support office operations to ensure efficiency across departments.

Qualifications

  • Colorado Notary Public (or willingness to obtain certification).
  • Bilingual (English/Spanish) is a plus.
