Overview:

A growing Managed Service Provider is seeking a highly organized and proactive Executive & Personal Assistant to provide comprehensive support to the CEO. This role combines the traditional functions of an Executive Assistant with those of a Personal Assistant, requiring a dynamic individual who can manage professional and personal tasks with discretion and professionalism.

Responsibilities:

- Act as the point of contact among executives, employees, clients, and other external partners.

- Manage information flow in a timely and accurate manner, ensuring the CEO's involvement in priority matters.

- Manage executives’ calendars, arrange meetings, and organize scheduling including travel arrangements and itinerary planning.

- Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO.

- File and retrieve documents and reference materials.

- Conduct research, collect and analyze data to prepare reports and documents.

- Manage and oversee the CEO’s personal commitments including travel arrangements, personal appointments, family engagements, and other personal tasks.

- Handle confidential documents ensuring they remain secure.

- Prepare financial statements, reports, memos, invoices letters, and other documents.

- Handle basic bookkeeping tasks.

- Facilitate internal communication by distributing internal announcements, coordinating meetings, and hosting visiting executives.

- Take meeting minutes, accurately enter notes, and distribute them.

- Oversee projects and follow up on impending deadlines.

- Attend meetings and events as the CEO’s representative when necessary.

Qualifications:

- Proven experience as an Executive Assistant, Personal Assistant, or similar role with a track record of effectively supporting senior executives.

- Experience in managing multiple priorities, administrative coordination, and logistics.
