SALARIED NON-EXEMPT

Job Summary:

The Accounting Assistant is responsible for providing comprehensive administrative and operational support to ensure the efficient day-to-day operation of the office. This position serves as a key point of contact for visitors, vendors, and employees while maintaining organized office processes, supporting accounting functions, coordinating administrative activities, and assisting the accounting/finance department. Success in this role requires exceptional organizational skills, attention to detail, professionalism, discretion, and the ability to effectively prioritize multiple responsibilities in a fast-paced environment.

Roles and Responsibilities:

  • Welcome and professionally greet visitors, customers, vendors, and contractors, directing them to the appropriate personnel.
  • Answer, screen, and route incoming telephone calls in a courteous and professional manner.
  • Maintain office supply inventory and submit purchase requests or orders, with appropriate approval, to ensure adequate inventory levels.
  • Open, sort, and distribute incoming mail and deliveries daily.
  • Collect raw material tickets from plant operations, maintain accurate tracking logs, and update Excel spreadsheets.
  • Scan, organize and electronically maintain raw material documentation.
  • Reconcile raw material invoices to supporting tickets, identify discrepancies, assign appropriate accounting codes, and submit invoices to Accounts Payable for processing.
  • Maintain company vehicle records, prepare annual vehicle registration documentation, and coordinate payment processing with Accounts Payable.
  • Prepare and submit required monthly reports to the U.S. Census Bureau.
  • Coordinate scheduling for the Management and Administrative Conference Room and arrange logistics, including catering and refreshments as requested.
  • Process vendor setup requests and vendor maintenance changes, including verification and maintenance of Certificate of Insurance.
  • Assist with internal and external audits by gathering documentation and maintaining accurate records.
  • Distribute monthly financial reporting books and related documentation.
  • Maintain organized electronic and paper filing systems.
  • Provide administrative support to multiple departments as assigned.
  • Perform other duties and special projects as assigned by management.

Education/Experience:

  • High school diploma or equivalent required
  • Associate degree in Business Administration, Accounting, or related field preferred.
  • Minimum of three (3) years of administrative support experience required.
  • Experience working in a manufacturing or industrial environment is preferred.
  • Experience in using Enterprise Resource Planning (ERP) systems preferred.

 Physical Requirements:

  • Regularly required to sit, stand, walk, and use hands to operate office equipment.
  • Frequently required to communicate verbally and in writing.
  • Occasionally required to lift and carry office supplies weighing up to 25 pounds.
  • Ability to perform work in a standard office environment.

 

Work Environment:

This position primarily operates in a professional office environment within a manufacturing facility. The employee will routinely use standard office equipment and may occasionally enter plant areas, where appropriate personal protective equipment (PPE) may be required.
