Job description

Project Coordinator IT Procurement

My name is Bill Stevens, and I have a six to twelve month plus Project Coordinator position for a major firm in Irvington, New Jersey that could be of interest to you, please review my specification below. The work schedule will be onsite five days a week.

The ideal candidate should also possess a green card or be of citizenship. No Visa entanglements and no H1-B holding company submittals.  

This position pays $40.00 per hour on a w-2 basis.  

Major firm is seeking a detail-oriented IT Project Coordinator to support project operations with a strong focus on managing, organizing, and ensuring projects remain on time. This role ensures that vendor contracts, software licenses, and service agreements are accurately tracked, renewed on time, and aligned with project and budget requirements. The ideal candidate should be organized, proactive with deadlines, and comfortable working across IT, finance, procurement, and vendor teams. An eye towards financial tracking is helpful.

Responsibilities:

Track, organize, and maintain records of all IT-related purchase orders, contracts, and renewals

Monitor expiration dates for software licenses, subscriptions, and vendor agreements to ensure timely renewals

Coordinate with vendors, procurement, and finance teams to process PO renewals and new requests

Support IT project managers by aligning purchase orders with project timelines and deliverables

Ensure compliance with internal procurement policies and budget guidelines

Maintain accurate documentation and reporting of PO status, spending, and renewal schedules

Identify risks related to lapsing contracts or delayed renewals and proactively escalate issues

Assist in vendor communication, including pricing updates, quotes, and contract terms

Generate regular reports on PO usage, renewal forecasts, and budget tracking

Support audits by ensuring proper documentation and traceability of purchases

Qualifications:

Bachelor's degree in Information Technology, Business Administration, or related field (or equivalent experience)

2+ years of experience in project coordination

Experience managing purchase orders, contracts, or vendor relationships

Strong organizational and time-management skills with attention to detail

Proficiency in tools such as Excel, project management software (e.g., Jira, Asana), and procurement systems

Strong communication skills for cross-functional collaboration

Preferred Qualifications:

MS Dynamics experience is strongly preferred

Experience in IT procurement or asset management

Familiarity with software licensing models (SaaS, subscriptions, enterprise agreements)

Knowledge of budgeting and financial tracking processes

Experience working in fast-paced or enterprise IT environments
