Position Title: Transportation Coordinator
Function:
The Transportation Coordinator supports transportation and logistics operations through shipment management, freight cost analysis, compliance monitoring, and continuous improvement initiatives. This role is responsible for tracking transportation performance, resolving shipping issues, managing freight claims and deductions, and disputing transportation-related compliance chargebacks through customer portals. The position works closely with carriers, customers, and cross-functional teams to drive service, cost, and operational performance and reports to the Controller.
Essential Duties and Key Responsibilities:
  • Analyze freight spending, delivered costs, and carrier service performance to identify cost-saving and process improvement opportunities.
  • Monitor and report key transportation KPIs and develop corrective action plans to improve carrier and internal fulfillment performance.
  • Manage daily shipment tracking and proactively monitor shipments in transit, appointment requests and resolve delays and ensure on-time delivery in accordance with customer-specified MABD guidelines.
  • Coordinate with carriers, warehouses, customers, third-party logistics providers (3PLs), and internal departments to resolve transportation issues.
  • Review transportation-related customer chargebacks, shortages, routing violations, and other compliance deductions; submit disputes through customer portals, provide supporting documentation, monitor claim status, and follow through to resolution and recovery of funds.
  • Investigate and file freight claims for lost or damaged shipments with carriers and track reimbursement status.
  • Review and approve carrier invoices, ensuring accuracy of freight charges and accessorial fees. Analyze transportation costs and identify discrepancies, trends, and opportunities for operational improvements.
  • Arrange pick up and delivery of international shipments and track and reconcile import duties, tariffs, freight expenses.
  • Investigate shipping and receiving exceptions and coordinate cross-functional resolution.
  • Prepare and maintain transportation dashboards and provide weekly reporting on freight performance, late deliveries, shortages, claims, and customer chargebacks among other KPIs.
  • Support carrier negotiations and transportation service evaluations.
  • Recommend process improvements to increase efficiency, adherence to customer performance metrics, and reduce costs.
  • Collaborate with Finance, Supply Chain, Operations and Transportation partners.
Requirements:
  • Previous experience as a Transportation Coordinator or similar role.
  • Must have familiarity with transportation and the logistic industry.
  • Prior experience with Mass Market and big box retailers preferred.
  • Excellent verbal and written communication skills with the ability to communicate professionally with people of different levels within the organization and external contact.
  • Ability to apply logical thinking and exercise sound judgment to arrive at appropriate business decisions.
  • Demonstrates the ability to remain professional and diplomatic when working under pressure.
  • Ability to stay organized and multi-task in a professional and efficient manner.
  • Excellent negotiation skills.
  • Intermediate Excel proficiency is required.
  • Gives attention to detail and follows instructions.
  • Works cooperatively and collaboratively within a group.
  • Ability to work independently with little supervision.
  • Adhere to company policies and procedures.
Education/Experience:
  • Bachelor’s Degree is preferred.
  • 1-2 years’ experience working in a Transport and Logistics department.
  • Proficiency in Microsoft Office suite i.e. Outlook, Excel, Word and ERP System is required.
Language Skills:
  • Effectively communicate with Finance, Supply Chain, Operations, Shipping, Inventory and other administrative staff regarding transportation.
  • Communicate effectively with customers and carriers.
Physical Demands:
While performing the duties of this job, the employee is regularly required to talk and hear. This position is mostly sedentary and requires prolonged repetitive hand movements, may require some standing, walking, bending, lift up to 25 lbs and filing throughout the workday. Specific vision abilities required by this job include close vision and the ability to work in front of a computer monitor for extended periods of the day. This position also calls for occasional work in the warehouse and interacting with warehouse personnel as needed.
Work Environment:
This position operates in a professional office setting, this position routinely uses standard office equipment such as computers, phones, copiers/ scanners, filing cabinets.
