Job description

Medical Billing Center (MBC) is a service-based healthcare revenue management company supporting independent outpatient physical therapy practices nationwide. For over 22 years, we have partnered with clinic owners to deliver efficient, accurate billing and collections services through a strong focus on relationships, accountability, and operational excellence.


Position Summary:

The Client Onboarding & Systems Integration Coordinator is responsible for managing the successful transition of new clients from contract execution through implementation, onboarding, training, operational go-live, and post-implementation stabilization. This role serves as the primary liaison between clients, vendors, and internal teams to ensure a seamless implementation experience while establishing strong client relationships.

In addition to client onboarding, this position coordinates the implementation and integration of new systems, technologies, and workflows into existing operational environments. Responsibilities include supporting the deployment of solutions such as Inbox, Teams, and other operational platforms, ensuring successful integration with current systems and processes. The Coordinator also manages client software conversions and platform migrations, serving as the primary resource when clients transition from one practice management, billing, or operational system to another.

The Coordinator remains actively engaged for approximately 30 days following go-live to support stabilization efforts, resolve implementation issues, monitor workflow performance, and coordinate the handoff of ongoing responsibilities to the Accounts Receivable Operations team.

Key Responsibilities:

- Lead client onboarding, implementation, and go-live activities.

- Coordinate system implementations, data migrations, software configurations, and third-party integrations.

- Serve as one of the client contacts during onboarding and implementation phases.

- Coordinate activities between Operations, Billing, AR, Credentialing, IT, Training, and Leadership teams.

- Facilitate kickoff meetings, status calls, training sessions, workflow reviews, and readiness assessments.

- Ensure all implementation requirements, documentation, and data are validated prior to go-live.

- Monitor project timelines and proactively resolve implementation issues.

- Provide post-go-live support for approximately 30 days to ensure successful stabilization.

- Coordinate transition and handoff to the AR team following the stabilization period.

- Support RCM, medical AR workflow optimization, KPI review, denial management awareness, and process improvement initiatives.
