Job description

ICE Components is seeking a highly organized and detail-oriented Office Manager / Bookkeeper to help manage the daily administrative, bookkeeping, HR, order management, purchasing, and logistics functions of our office.

This is a hands-on role for someone who enjoys wearing multiple hats, keeping processes organized, and supporting a small business team. The ideal candidate will have strong bookkeeping experience, excellent follow-through, and the ability to manage a variety of office and operational responsibilities.

Key Responsibilities

  • Support order processing, customer invoicing, credit follow-up, and ERP system updates.
  • Coordinate shipping, freight, imports/exports, logistics documentation, and vendor communication.
  • Assist with purchasing, vendor orders, inventory documentation, and warehouse coordination.
  • Manage accounts payable, accounts receivable, deposits, customer payments, and bookkeeping support.
  • Assist with payroll, employee records, benefits administration, onboarding, and HR documentation.
  • Track recurring filings, insurance renewals, business licenses, tax documents, and compliance items.
  • Oversee general office operations, supplies, maintenance coordination, filing, and special projects.

Ideal Candidate

The right candidate will be dependable, organized, accurate, and comfortable being the central person who keeps office and operational tasks moving. Prior experience in bookkeeping, office management, payroll/HR support, logistics, order management, purchasing, or small business administration is strongly preferred.

Experience with ERP/accounting systems, Excel, QuickBooks, Odoo, Paychex, shipping carriers, or import/export documentation is a plus.

Qualifications

  • Prior bookkeeping, office management, accounting administration, or operations experience.
  • Strong attention to detail and ability to manage recurring deadlines.
  • Comfortable handling confidential financial and employee information.
  • Strong communication and problem-solving skills.
  • Ability to work independently and manage multiple priorities.
