About this opportunity:

The College of Health at Ball State University invites applications for two Part-time Patient Care Coordinators within the Interprofessional Community Clinics (ICCs). This position plays an important role in supporting the daily clinical operations of the ICCs while serving as a welcoming and professional point of contact for patients, clients, visitors, and community partners. The Patient Care Coordinator assists with patient registration and scheduling, clinic communications, patient record management, billing-related support activities, and front-office operations. This role is ideal for an organized, service-oriented professional who enjoys working in a collaborative healthcare environment and is committed to providing exceptional patient support and customer service. Candidates who are proactive, detail-oriented, and passionate about supporting community-based healthcare services are encouraged to apply.
This position is part-time, non-exempt staff at 25 hours per week. Benefits are not available for this position.

What you'll do and what you'll bring:

Position Function: The Part-time Patient Care Coordinator supports the clinical operations for the College of Health (CoH). The position carries out administrative duties for the Interprofessional Community Clinics (ICCs), and serves as a contact point for our patients, clients, visitors, and their family members.

Duties and Responsibilities:

  • Register and schedule patients/clients for services provided by the Interprofessional Community Clinics (ICCs).

  • Answer phone calls, respond to emails, and field patient inquiries regarding the various service lines and associated costs for services provided by the ICCs.

  • Assist patients with check in/out procedures for their scheduled services within the ICCs

  • Maintain and manage patient health records including but not limited to preparing patient reports and related documents to be faxed or mailed, scanning documents for electronic patient charting, and filling patient requests for authorized disclosures of records.

  • Ensure clinic forms and materials are available and organized which includes keeping common areas stocked with appropriate educational and promotional materials.

  • In coordination with the ICCs' administrative team, complete financial/patient billing related tasks (e.g., complete weekly financial deposits, load insurance profiles in the electronic health records system, follow-up with accounts receivable, etc). Assist ICCs in preparing for various outreach events which may include attendance at select events throughout the year.

  • Maintain patient confidentiality and adhere to ICCs' policies and procedures for securing protected health information in accordance with the Health Insurance Portability and Accountability Act (HIPAA). Adhere to, and strictly follow, policies and procedures on security related to clinical spaces and patient care and safety.

  • Perform other related duties as assigned.

  • Maintain regular and predictable attendance.

Minimum Qualifications:

  • Eighteen months of specialized training or education beyond high school or equivalent amount of related experience.

  • At least one year of office support experience or equivalent.

  • Proficiency in using computer systems and software.

  • Thorough ability to communicate with a wide variety of people in a precise and professional manner.

  • Strong organizational skills.

  • Ability to work autonomously and take initiative.

Preferred Qualifications:

  • Associate degree or equivalent.

  • Previous experience in healthcare administration.

  • Experience managing patient account balances and health insurance claims processing.
