Job description

Position Summary

The Warranty Administrator is responsible for processing, submitting, and reconciling all manufacturer and extended warranty claims in accordance with Hyundai Motor America (HMA) policies and procedures. This role ensures accurate and timely warranty reimbursement, maintains compliance with warranty documentation standards, and works closely with the Service and Accounting departments to minimize chargebacks and maximize recovery.

Essential Duties and Responsibilities

  • Review repair orders daily to identify warranty, internal, and policy repairs eligible for claim submission
  • Prepare and submit warranty claims through Hyundai's warranty portal (GWM/Hyundai Warranty System) in accordance with HMA guidelines
  • Verify labor operation codes, causal parts, and technician certifications match claim requirements
  • Monitor claim status and follow up on rejected, debited, or held claims; resubmit or appeal as needed
  • Reconcile warranty receivables against payments received; research and resolve discrepancies
  • Maintain organized records of claims, parts tags, and supporting documentation for the required retention period in preparation for HMA audits
  • Track and report chargebacks, debits, and adjustment trends to Service and Accounting management
  • Coordinate with technicians and Service Advisors to ensure proper documentation (cause, correction, complaint) is captured on repair orders
  • Stay current on Hyundai warranty policy bulletins, campaigns, recalls, and Technical Service Bulletins (TSBs)
  • Assist with monthly warranty schedule reconciliation for accounting close
  • Maintain compliance with Hyundai's warranty audit standards to avoid claim chargebacks

Qualifications

  • 1–3 years of warranty administration experience, preferably with Hyundai or another OEM brand
  • Working knowledge of DMS systems
  • Familiarity with Hyundai warranty portal, labor time guides, and claims coding
  • Strong attention to detail and organizational skills
  • Ability to read and interpret repair orders and technical documentation
  • Basic accounting/reconciliation skills
  • Effective communication skills for coordinating across Service, Parts, and Accounting

Preferred

  • Prior experience with OEM audits and chargeback resolution
  • Experience with Hyundai-specific systems (GWM, HMAExtra, etc.)
