Job Title: HR Assistant
Job Description
This HR Assistant role supports a centralized Staffing team responsible for automating and streamlining the hiring of an hourly workforce. You will perform high-volume, repeatable administrative tasks, manage backend hiring and termination processes, and conduct quality audits of outsourced vendors. The position requires strong Excel skills, meticulous attention to detail, and the ability to handle sensitive information while supporting field teams and leadership with accurate reporting and communication.
Responsibilities
  • Manage and own daily HR administrative tasks from start to finish, ensuring timely and accurate completion.
  • Perform backend processes related to application creation and candidate compliance information, collaborating closely with internal teams.
  • Import and export data within various software platforms, including Excel, ensuring the accuracy and completeness of information.
  • Handle sensitive information and documents, such as Social Security Numbers, dates of birth, and driver's license numbers, with strict confidentiality and adherence to privacy regulations.
  • Utilize Excel extensively on a daily basis, including pivot tables and VLOOKUP functions, to analyze, organize, and report on HR data.
  • Develop and maintain data management systems and processes to ensure efficient handling of HR information and streamlined workflows.
  • Conduct regular data audits to identify and resolve discrepancies or inaccuracies, maintaining data integrity and reliability.
  • Assist in the development and improvement of data management procedures and policies, implementing best practices for data security and privacy.
  • Perform quality audits of outsourced vendors to ensure adherence to process standards and data accuracy.
  • Prepare and deliver facility reporting and communications to a broad team, including leadership, ensuring clear and timely updates.
  • Escalate issues related to processes or tools required to complete tasks, providing clear context and recommendations.
  • Apply sound judgment in ambiguous scenarios when the path forward is not clearly defined, making decisions that support candidates and internal stakeholders.
  • Identify and propose process and product improvements that enhance the efficiency and effectiveness of Workforce Staffing operations.
  • Act as a liaison between field teams and centralized support services, ensuring smooth communication and issue resolution.
  • Support customer service needs related to HR processes by responding promptly and professionally to inquiries and requests.

Essential Skills
  • Strong Microsoft Office experience, with a focus on advanced Excel usage.
  • Proficiency in Excel functions, including VLOOKUP and pivot tables, used on a daily basis.
  • Demonstrated experience in data entry and data management with high accuracy and attention to detail.
  • Ability to handle sensitive and confidential information in compliance with privacy and data protection requirements.
  • Strong customer service skills, with the ability to communicate clearly and professionally with diverse stakeholders.
  • Ability to manage repeatable, high-volume administrative tasks from start to finish.
  • Strong judgment and problem-solving skills, particularly in ambiguous or evolving situations.
  • Self-starter mindset with the ability to work independently and take ownership of tasks.
  • Excellent attention to detail and commitment to maintaining data integrity.

  • Experience working in human resources or a related administrative support function.

  • Familiarity with working alongside outsourced vendors and supporting quality assurance efforts.

Work Environment
This role is based onsite at a facility in Tempe, working four days per week on a 4x10 schedule. The environment is fast-paced and highly data-driven, with frequent use of Microsoft Office and Excel for reporting, data management, and analysis. You will collaborate with both centralized support services and field teams, as well as interact with outsourced vendors. The position involves working with sensitive HR information and requires adherence to strict confidentiality and data security practices.

Pay and Benefits
The pay range for this position is $23.00 - $23.00/hr.
