Work Schedule: Monday–Friday, 8:00 a.m. – 4:30 p.m.
Maximum of 29.75 hours per week.

The State of Delaware is seeking a highly organized, customer-focused administrative professional to support centralized Human Resources operations. This position plays a vital role in providing administrative support, managing personnel records, coordinating communications, and assisting with workforce reporting for multiple state agencies.

What You'll Do

As a Human Resources Administrative Support Specialist, you will:

  • Serve as the primary point of contact for shared Human Resources email inboxes, reviewing, prioritizing, routing, and responding to inquiries to ensure timely and professional customer service.
  • Manage a high volume of incoming personnel requests while coordinating workflow and ensuring timely resolution.
  • Perform daily electronic document management and records maintenance using an electronic document management system (OnBase), ensuring personnel files are complete, accurate, and maintained in accordance with records retention requirements.
  • Process, index, and file a large volume of personnel documents generated from employee transactions while maintaining data accuracy and confidentiality.
  • Prepare and distribute workforce reports, statistical reports, and other recurring HR metrics to support agency operations and leadership decision-making.
  • Compile monthly and bi-weekly reports using data from multiple sources and ensure information is accurate and submitted within established deadlines.
  • Assemble onboarding materials and orientation packets for new employees.
  • Provide administrative and reception support as needed, including greeting visitors, answering phones, and directing customers to appropriate resources.
  • Maintain confidential employee information while ensuring compliance with State policies, procedures, and applicable regulations.
  • Provide exceptional customer service to employees, managers, applicants, and the public through effective verbal and written communication.
