What is HRIS implementation?

HRIS implementation refers to the process of installing, configuring, and launching a Human Resources Information System (HRIS) within an organization. This process typically includes assessing organizational needs, selecting the appropriate HRIS software, migrating data, integrating with other business systems, and training staff on the new platform. Successful HRIS implementation helps streamline HR processes such as payroll, benefits administration, and employee data management, improving overall efficiency and compliance.

What are some common challenges faced during an HRIS implementation, and how can they be managed effectively?

One common challenge during an HRIS implementation is data migration, as ensuring accurate and complete transfer of existing HR data to the new system can be complex. Additionally, adapting workflows to fit the new system often requires close collaboration with HR, IT, and department leaders to ensure alignment with business processes. Effective communication, thorough training, and phased rollouts help manage user adoption and minimize disruptions. Being proactive about troubleshooting and involving key stakeholders early on can significantly improve the success of an HRIS implementation.

  • Coordinate data collection, cleansing, conversion, validation, reconciliation, and testing for new employees, locations, business units, and acquired organizations.
  • Develop and maintain reports, dashboards, and data extracts supporting workforce, recruiting, payroll, benefits, compliance, and operational decision-making.
  • Investigate and resolve complex system, data, workflow, integration, access, and reporting issues, including coordination with IT and external vendors.
  • Monitor data quality, integrations, scheduled processes, security access, and system controls; implement corrective and preventive improvements.
  • Evaluate HR processes and recommend technology solutions that improve accuracy, efficiency, scalability, and the user experience.
  • Maintain system documentation and provide clear communications, procedures, and training for HR teams, leaders, employees, and other system users.

QUALIFICATIONS

  • Bachelor’s degree in Human Resources, Information Systems, Business Administration, or a related field, or equivalent professional experience.
  • Eight or more years of progressively responsible HRIS, HCM, HR technology, or related business systems experience.
  • Five or more years of hands-on HRIS/HCM administration experience, including at least three years of configuration or advanced administration experience with Dayforce, UKG, or a comparable enterprise HCM platform.
  • Experience administering or providing advanced support for iCIMS or a comparable applicant tracking system.
  • Demonstrated experience leading or serving in a key functional role on HR technology implementations, system conversions, integrations, or major configuration initiatives.
  • Experience gathering business requirements and translating them into functional designs, workflows, configurations, reports, and scalable system solutions.
  • Experience with data mapping, cleansing, conversion, validation, reconciliation, user acceptance testing, and deployment activities.
  • Strong reporting and analytical skills, including advanced Microsoft Excel and experience with tools such as Dayforce Reporting, UKG People Analytics/Cognos, SQL, Power BI, Looker or Tableau.
  • Strong understanding of HR processes, data governance, system security, integrations, audit controls, and confidential information handling.
