Job Summary

The Time & Absence section of the Office of Human Resource Management is responsible for administering the University leave policy and Workday time tracking and absence modules. Provides expert guidance and direction to university and campus administration on time and absence best practice and Workday module capabilities. Collaborates with management to ensure that strategy, functionality and programs support LSU’s business objectives, meeting all legal and policy requirements.

Job Responsibilities
  • 35% – Assisting with managing Time Tracking and Absence Workday functionality and administers the campus leave policy. Provides expert guidance and direction to university and campus administration on time and absence best practice and Workday module capabilities. Responsible for assigned Workday module including, but not limited to: fixes, testing, data integrity, updates, participate in user groups, stay abreast of functionality, work with ITS to develop and maintain reports. Develop and maintain system documentation and processes including third party time tracking solutions. Act as security module administrator. Works closely with compensation consultants to define, establish, maintain, modify and streamline special time types and compensation policy (i.e. premium pay, on call pay, shift differentials, etc.)
  • 35% – Responsible for all leave/time off functions in Workday, including but not limited to: entering and reviewing all continuous leave transactions, ensuring all leave events in Workday reflect all related approved leave documents; supporting the manager in responding to emergency-related leave processes, closures, and actions according to state and federal policies; processing terminations in Workday, ensuring the accuracy of terminal leave transactions for former workers; reviewing accuracy of adjustments to service dates and overriding balances for transfers and new employees with prior state service; administering leave related functions such as workers compensation adjustments, leave without pay accruals, etc. Understand and interpret LSU leave policies in order to advise and guide departments to ensure compliance. Responsible for supporting audit functions, including but not limited to: monitoring the use of special leaves, emergency related time entry, premium pay/shift differential quarterly audits, and annual leave certification audit.
  • 20% – Identifies advanced reporting needs and requirements to satisfy auditor and policy compliance. Works with the manager and assigned business analyst(s) to create, modify, and establish a robust reporting portfolio to support users in tracking and maintaining data for adherence to policy and procedure. Provides advisement and guidance to internal and external customers on university leave policies and Workday leave module functionality and reports. Monitors and maintains leave related policy statements and policy memorandums for updates as required by changes to state or federal mandates.
  • 5% – Training and other duties as assigned – Identifies campus community training needs and works with the manager to develop and deliver various trainings on Time Tracking and Absence functionality. Create, review and revise necessary job aides as needed.
  • 5% – Back-up HR Assistant on HR phone and email, and front desk coverage. Other duties as assigned by the manager.
Minimum Qualifications
  • Bachelor's degree with 1-year of related experience in HR processes, systems or related field.
