Position Summary

The Human Resources (HR) Coordinator is responsible for ensuring the efficient day-to-day operations of the administrative function of the Office of Human Resources, supporting all HR functional areas, and is responsible for delegating additional tasks to the HR Office Assistant as needed. This position also serves as the Time and Leave Recording administrator.

Job Duties and Responsibilities

Record all college-approved FMLA continuous/intermittent and STD cases. Review bi-monthly for time entry and submit in the appropriate timekeeping platform.
Prepare last day and COBRA letters. Calculate leave balances of outgoing employees and inform payroll. Notify college personnel of resignations and terminations.
Create and prepare a variety of correspondence and materials in support of all human resources functions, including formatting and/or distributing job descriptions, new hire materials and folders, memos, and personnel action forms. Complete new hire forms and update tracking logs.
Complete employment verifications from outside requesters following established procedures. Respond to subpoena requests as needed.
Review daily automated obsolete supervisor report and request/update supervisory changes appropriately. Process all incoming departmental supervisor changes.
Maintain the college Manager/Supervisor distribution list and conduct quarterly audits to ensure accuracy.
Maintain/update HR electronic forms and ensure they meet the college's standards, including accessibility.
Submit requests to Strategic Communications to update HR Internet web pages as needed. Maintain the HR Intranet site; review regularly and make additional updates as requested by HR office staff.
Maintain appropriate files (paper and/or electronic) for correspondence, reports, personnel records, confidential files, and other human resource documents related to area of responsibility. Perform proper archival procedures annually. Ensure that record keeping procedures are in compliance with applicable state and federal legislation.
Prepare monthly HR status report, send out monthly notifications, and add data for assigned areas of the report.
Create/edit the HR weekly newsletter and any other related publications.
Manage the HR budget and budget accounts; produce monthly expense reports; create purchase orders and requisitions, research budget discrepancies; generate budget transfers. Process and reconcile monthly procurement card expenditures for the Human Resources team.
Receive goods in Unimarket and submit invoices for payment.
Serve as the time and leave recording system college liaison/administrator and provide oversight function. Create/assign proper leave codes, add/edit/modify leave entries, correct negative leave balances and any discrepancies, provide instructions to employees/supervisors with web clock essentials and how-to guides, ensure assignment of proper supervisors not viewable, assists with questions for error messages, assist with creating/assigning user roles, assists with issues around leave not importing from Colleague, provide guidance/training to employees on how to view/understand dashboard. Track leave entries in designated time recording log. Run reports for accrual usage for managers/supervisors as requested. Run monthly audit reports to capture employees not found in the system or employees missing leave allotments.
Support Talent Acquisition team by attending job fairs and recruitment events as needed.
Assist compensation functions by completing salary placement worksheets, assisting with the salary increase process, and annual salary surveys.

Required Qualifications:

Associate's degree
Minimum 5 years of high-level administrative support experience with at least 2 years of direct Human Resources experience.
Advanced computer skills with a high level of proficiency in all Microsoft Office Suite applications: Word, Excel, Outlook, and PowerPoint.
High level of proficiency with administrative database software systems and familiarity with HR tracking systems and applicant tracking systems.
Excellent oral, written and interpersonal communication skills, including grammar, spelling, punctuation, editing and proofreading skills required.
Ability to handle multiple tasks efficiently and effectively, work independently and in a team-oriented, collaborative environment.
Ability to handle sensitive & confidential materials/matters with discretion & tact.

Preferred Qualifications:

Time and attendance systems experience preferred.
Video conferencing (Zoom, Microsoft Teams) experience and management.
