Overstory Health is building world-class, patient-centric Partial Day Treatment (PDT) and Intensive Outpatient (IOP) programs for individuals with high-acuity mental health needs. About the Role

We are seeking a dedicated and personable Admissions Specialist to join our team. As the first point of contact for patients, you will play a key role in creating a welcoming and supportive admissions experience to ensure that our clients get the care that they need. Your responsibilities will include managing phone calls, scheduling appointments, verifying insurance information, and supporting daily administrative tasks. Key Responsibilities

Admissions & Intake Coordination

  • Respond to all inbound referrals and inquiries; follow up on all outbound call needs with referral partners and potential patients; schedule and confirm intake appointments.
  • Manage client data in our EHR (Ritten) and RCM (Simitree) portals, including benefit verification and authorizations.
  • Maintain organized, accurate admissions records and ensure a timely, welcoming intake experience.

Client Attendance & Front Desk Support

  • Verify insurance and check in/out for virtual sessions.
  • Track attendance, document in Ritten, and follow up with late or no-show clients.
  • Maintain a professional, friendly, and efficient front desk environment.

Administrative & Operational Support

  • Support clinic operations through document prep, data entry, and technical assistance.
  • Connect clients to local community and social services as needed.

Qualifications

  • Location: In-person or virtual
  • Schedule: 8:30am-5pm ET Monday through Friday
  • Education: High school diploma or equivalent.
  • Experience: Minimum of 1 year in Sales (healthcare preferred) or as a receptionist in a medical clinic, hospital, or similar healthcare environment; or 3 years of comparable front office or Sales in a non-healthcare setting.
  • Skills: Strong customer service and communication skills, with the ability to multitask and manage a fast-paced environment.
  • Technology: Proficiency in Google applications, with a willingness to learn job-specific software (e.g., Slack, Zoom, Electronic Health Records).
  • Preferred: Experience working with medical professionals and confidence interacting with a diverse patient population.
