Schedule: Monday–Friday, 8:00 AM–5:00 PM CST, with occasional Saturday rotation

Overview

A high-performing mortgage team is hiring a fully remote Assistant Operations Manager to support increased loan volume and pipeline complexity. This role will assist the Operations Manager in overseeing daily processing operations, supervising processors and junior processors, managing pipeline movement, enforcing compliance deadlines, handling escalations, and improving operational accountability.

This is a strong fit for someone with mortgage operations, processing, or underwriting experience who understands the broker channel, can coach processing staff, and is comfortable working in a fast-paced, tech-forward environment. The team uses AI-powered operations tools, Monday.com, Slack, ARIVE, and automated workflows to support pipeline management, compliance monitoring, client communication, and team performance.

Responsibilities

• Assist the Operations Manager in overseeing daily loan processing operations
• Monitor pipeline flow, processing turn times, submission readiness, and file movement through underwriting and closing
• Supervise and coach processors and junior processors
• Conduct daily check-ins, balance workloads, and support team accountability
• Review submissions for quality control and readiness
• Enforce TRID timelines, lock expirations, CD approvals, closing date coordination, and regulatory deadlines
• Handle escalations involving stuck files, lender issues, missing conditions, client/realtor complaints, and other file-level issues
• Drive issue resolution before escalations become larger problems
• Coordinate file handoffs from sales to processing
• Work with LOAs/Pre-Approval Specialists to ensure smooth transitions into processing
• Manage lender submissions, underwriting follow-ups, and condition responses
• Monitor and report on KPIs, including submission readiness, condition clearing rates, turn times, pull-through rates, and client satisfaction
• Identify bottlenecks and recommend process improvements
• Communicate clearly with processors, LOAs, lenders, clients, and leadership
• Use ARIVE, Monday.com, Slack, RingCentral, HeyMarket, Microsoft Office/Google Workspace, and related operations tools
• Support a fully remote, distributed mortgage operations team

Qualifications

• 2–4+ years of mortgage operations, processing, or underwriting experience
• Strong knowledge of Conventional, FHA, VA, and USDA loan programs
• Experience managing, mentoring, coaching, or informally leading a processing team
• Solid understanding of TRID/RESPA compliance and disclosure timelines
• Broker channel or wholesale lending experience preferred
• Proficiency with loan origination systems
• ARIVE experience strongly preferred
• Experience with Monday.com, Slack, RingCentral, HeyMarket, Microsoft Office/Google Workspace, and Loan Sifter preferred
• Encompass, BytePro, or other LOS experience a plus
• Strong organizational skills and ability to track multiple files and deadlines
• Strong communication skills with processors, LOAs, lenders, clients, and leadership
• Ability to identify bottlenecks and resolve issues proactively
• Detail-oriented with a compliance-first mindset
• Comfortable working in a fast-paced, high-accountability remote environment
• Strong written communication skills
