About The Hotel Guy

The Hotel Guy is a specialized travel management company supporting major music tours, film productions, television shows, and large commercial shoots worldwide.

We coordinate hotel, air, and ground travel for production crews, talent, and creative teams moving between cities on demanding schedules. Our clients include advertising agencies, production companies, and entertainment organizations working across the U.S. and internationally.

While this role shares some similarities with a corporate travel agent position, the work is heavily focused on hotel strategy, group logistics, and production coordination rather than traditional leisure travel booking.

The Role

We are hiring a Travel Specialist with a hotel operations background to help manage hotel and travel logistics for fast-moving production teams.

This role is ideal for someone who understands how hotels operate — inventory pressure, group blocks, guest expectations, and front office realities — and wants to apply that experience in a new environment.

Instead of managing a single property, you’ll work with multiple hotels across different cities, coordinating accommodations and logistics for production teams and talent.

Key Responsibilities

Hotel Sourcing & Coordination

  • Source and secure hotel inventory for production teams

  • Assist with structuring and managing group room blocks

  • Monitor cut-off dates, rooming lists, and reservation changes

  • Align hotel placements with production schedules and shoot locations

  • Navigate high-demand markets and limited availability

Hotel Communication & Negotiation

  • Work with hotel sales teams and front office leadership

  • Negotiate competitive rates and concessions

  • Secure upgrades and special accommodations when possible

  • Maintain strong working relationships with hotel partners

Production Travel Logistics

  • Coordinate ground transportation for crews and talent

  • Manage last-minute travel adjustments

  • Solve logistical issues quickly and professionally

  • Maintain accurate documentation and billing records

Required Experience

We are specifically seeking candidates with hotel supervisory/managerial operations experience, such as:

  • Front Office

  • Guest Services

  • Reservations

  • Hotel Manager

Bachelor's Degree is required

Candidates should have experience with:

  • Managing group reservations or room blocks

  • Handling guest escalations and service recovery

  • Working in high-demand operational environments

  • Coordinating with hotel leadership and sales teams

Preferred Experience
