Job description

If so, R & W Group has a great new opportunity! One of our favorite corporate clients is looking for a Property Assistant. In this role, you would play an integral role in delivering a best-in-class tenant experience across a premier commercial real estate portfolio. This temp to perm position supports daily property operations, tenant engagement, leasing activities, financial administration, and general office functions while helping ensure the properties are maintained to the highest standards.
This opportunity is ideal for a service driven professional who thrives in a fast paced, hospitality focused environment and takes pride in creating a welcoming, organized, and professionally managed workplace for tenants and guests. The position will begin on a temporary basis with the opportunity to transition into a permanent, full-time role based on performance and business needs. Note this role is fully in-office in Alexandria, VA (Metro accessible).
Responsibilities
  • Deliver exceptional, hospitality focused service to tenants, guests, vendors, and building partners.

  • Serve as a primary point of contact for tenant questions and requests, ensuring timely and professional follow up.

  • Create, manage, and monitor work orders through completion.

  • Assist with planning and executing tenant engagement events that promote community and connection.

  • Participate in an on-call rotation to support urgent or after-hours property needs.

Property Operations and Maintenance
  • Help ensure tenant suites, conference rooms, common areas, and other property spaces are maintained to a high standard of cleanliness, presentation, and functionality.

  • Monitor building operations and escalate maintenance or service concerns to management, engineering teams, or vendors as appropriate.

  • Coordinate routine maintenance, repairs, inspections, and vendor access.

  • Develop strong working relationships with building ownership, engineering, asset management, and third-party service providers.

  • Support compliance with building policies, safety requirements, and operational procedures.

Financial and Lease Administration
  • Review, code, process, and submit invoices accurately and on time.

  • Assist with accounts receivable activities, including collection follow up and tracking outstanding balances.

  • Support monthly financial reporting in partnership with the accounting and property management teams.

  • Obtain and review vendor proposals for alignment with project scope, pricing, and company standards.

  • Assist with lease administration, including tracking important dates and maintaining accurate documentation.

Leasing and Marketing Support
  • Maintain a working knowledge of available property inventory, building amenities, and marketing initiatives.

  • Support leasing efforts by coordinating tours, preparing materials, and communicating with brokers and prospective tenants.

  • Assist with tenant improvement projects, move ins, move outs, and suite customization activities.

Administrative and Compliance Support
  • Maintain accurate and organized property records, including leases, contracts, vendor documentation, and compliance materials.

  • Review and process purchase orders and invoices through the accounts payable system.

  • Ensure adherence to company policies, procedures, and operational standards.

  • Provide administrative support for new initiatives, special projects, and additional property needs.

  • Perform other responsibilities as assigned.

Qualifications
  • Bachelor's degree preferred but not required.

  • Experience in property management, hospitality, customer service, office operations, or another service focused environment preferred.

  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
