Job description

The Hospitality Associate executes meetings and provides catering support, supports relationships with vendors, and provides support to the entire staff. Must be able to perform successfully in a fast-paced, intellectually intense, service-oriented environment and to interpret rules and guidelines flexibly to enhance the business and in keeping with Opensity Solutions values and culture.
Essential Job Responsibilities

  • Coordinating and executing catering orders for meetings and events
  • Hosting team lunches, weekly up to 65 people
  • Working closely with the Concierge and Events Team to confirm room reservations and set-ups, security lists, and catering needs
  • Organizing and attending to the set up/clean up of all office meetings including refreshing of food/drinks
  • Proactively managing inventory levels for food supplies and ordering food, snacks, drinks, and utensils as needed
  • Making and setting up name tags, meeting materials, etc. On point for executing print requests
  • Ordering supplies for meetings as needed
  • Managing the beer/wine closet to keep inventory full
  • Moving and arranging tables in-between meetings
  • Lifting/pushing/pulling up to 50lbs at a time. Heavy lifting required which can include large cases of food and drinks; also need to use a step ladder with ease
  • Checking conference rooms to make sure they are clean, organized, and re-set before and after all meetings; dispose of any client confidential material that has not been picked up and shredded from the previous day
  • Providing light general admin support for meeting/event attendees as necessary
  • Special projects as needed
  • Other duties as assigned by Office Experience leadership
Qualifications & Requirements
  • Catering experience preferred
  • Proficient in Windows
  • Must be able to lift large cases of food and drinks and use a step ladder with ease
  • Must be able to spend significant time walking and standing
  • Overtime may be required, including coming in earlier than normal start time
  • Meticulous attention to detail and follow-through; perform tasks with high degree of accuracy and efficiency
  • Excellent organizational and time management skills; ability to meet deadlines
  • Excellent oral and written communication skills
  • Ability to work independently, to take initiative and to overcome obstacles
  • Ability to successfully manage competing priorities, keeping constant sight of the overall objectives
  • Ability to work effectively with all levels of the organization
  • High degree of maturity and professionalism at all times
  • High degree of flexibility in a demanding, fast paced and frequently changing environment
  • Strong service orientation in responding to customer needs
  • Ability to exercise judgment in managing confidential or sensitive information

The Compensation for this role is up to $26.50 USD per hour. Actual compensation within that range will be dependent upon the individual's skills, experience and qualifications.
