About the Role
The Marketing Coordinator supports firm-wide marketing efforts by partnering with Marketing leadership and technical teams to develop proposals, qualifications packages, and other branded marketing materials. This role ensures content aligns with brand standards and supports revenue-generating initiatives across all regions and practices.
This role is a great fit for someone who enjoys variety, takes ownership, and is comfortable managing competing priorities with confidence. You should be able to bring structure to fast-moving work, communicate clearly when priorities shift, and keep projects moving without needing heavy oversight.
Key Responsibilities
  • Partner with Marketing leadership to organize and assemble RFQ/RFP responses, proposals, qualifications packages, presentations and related marketing materials
  • Review pursuit requirements and prepare an outline, manage production and assembly of proposals and coordinate delivery logistics
  • Provide QA/QC review to ensure alignment with strategic goals, RFP requirements and brand standards
  • Maintain templates, project information, resumes, boilerplate content and other reusable marketing resources
  • Maintain CRM (Deltek Vision/Vantagepoint) records, including client, contact and pursuit data
  • Organize and classify images and documents using OpenAsset, FGMAโ€™s digital asset management system
  • Support website updates, including posting content and making simple edits
  • Contribute to process improvements, internal standards, and resource organization
Required Qualifications
  • 3+ years of experience in AEC marketing, proposals, communications, or a related field
  • Advanced proficiency in Adobe InDesign and strong working knowledge of Adobe Photoshop, Adobe Illustrator, and Microsoft Office Suite
  • Exceptional writing, editing, organizational, and communication skills
  • Strong attention to detail and understanding of proposal compliance requirements
  • Ability to manage multiple deadlines and competing priorities in a fast-paced environment
  • Self-motivated, resourceful, and comfortable taking initiative
Preferred Qualifications
  • Experience with Deltek Vision/Vantagepoint, OpenAsset, or similar CRM and asset management systems
