Job description

Administrative Receptionist

Our client, a UK-based investment firm, is seeking a polished and proactive Administrative Receptionist to support their growing New York office. This individual will serve as the front-of-house presence while also providing administrative and office management support to a small, collaborative team.

This is a highly visible, permanent role within an entrepreneurial environment, ideal for someone who is organized, resourceful, and enjoys wearing multiple hats. The right candidate will bring a strong sense of ownership, professionalism, and a "no task too small" mindset, along with the ability to operate efficiently in a fast-paced New York office. This role is fully in office, five days per week.

Responsibilities:
  • Serve as the front-of-house representative, creating a welcoming and professional experience for employees, visitors, and investors
  • Manage reception duties including phone coverage, visitor coordination, and conference room scheduling
  • Oversee office calendar management and meeting logistics
  • Coordinate domestic and international travel, including itineraries, reservations, and related logistics
  • Support recruitment coordination as needed, including scheduling interviews and assessments
  • Manage incoming and outgoing mail, packages, couriers, and deliveries
  • Liaise with building management, vendors, and external service providers
  • Partner closely with the UK Business Administration team to ensure alignment across offices
  • Assist with office operations including supplies, catering, and general upkeep
  • Track and manage office expenses, invoices, purchase orders, and petty cash
  • Support internal events, meetings, and team initiatives
  • Maintain and update office procedures and documentation as needed
  • Assist with ad hoc projects and provide general administrative support across teams
Requirements:
  • 2–5 years of experience in reception, administrative support, or office coordination within a professional services or financial services environment preferred
  • Bachelor's degree preferred
  • Polished, professional, and client-facing demeanor
  • Strong communication skills with the ability to interact confidently with internal and external stakeholders
  • Highly organized with strong attention to detail and follow-through
  • Ability to manage multiple priorities and operate effectively in a fast-paced environment
  • Proactive, resourceful, and solutions-oriented mindset
  • Strong technical proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Discreet, dependable, and able to handle confidential information with professionalism
Hours:

8:00/8:30am – 5:00/5:30pm. Flexibility for OT as needed.

Compensation:

$70,000–$115,000 base (DOE). Discretionary bonus. Comprehensive benefits package.
