The Supervisor, Health Information Management (HIM) is responsible for planning, organizing, and supervising all aspects of the scanning and document retrieval functions within the HIM Department. This role ensures productivity, quality and compliance standards are consistently met through effective onsite leadership and daily operational
oversight. S/he leads onsite operations while partnering closely with management across multiple Breg locations through regular communication, reporting, and escalation of issues as appropriate. The Supervisor adjusts work assignments to ensure adequate coverage during peak periods, leaves, and vacancies, and prioritizes daily workloads to ensure timely completion of scanning and document retrieval activities. This role also supports continuous improvement initiatives and is responsible for employee training, coaching, and mentoring of HIM Specialists.

What You’ll Do

As a Supervisor, Health Information Management, you will:

  • Provides direct supervision to the HIM team by managing scheduling, ensuring completion of required
    competencies, enforcing adherence to Breg policies, procedures, work instructions, and standard operating
    procedures (SOPs), while
  • Oversees departmental workflow to ensure productivity, compliance, and quality standards are met while
    maintaining adherence to established workflows and supporting documentation, including work instructions,
    policies and procedures, tip sheets, and job aids.
  • Responsible for training of new and existing HIM team members on workflows, privacy regulations, electronic
    medical record (EMR) utilization, documentation standards, Durable Medical Equipment, Prosthetics, Orthotics, and
    Supplies (DMEPOS) billing requirements, key performance indicators (KPIs), and quality expectations
  • Provides ongoing development, coaching, and support to the HIM team to strengthen capabilities and ensure
    consistent achievement of role and performance expectations.
  • Ensures compliance to all policies governing patient privacy and access to protected health information (PHI),
    ensuring that all workflows, documentation processes, and datahandling practices comply with Health Insurance
    Portability and Accountability Act (HIPAA), organizational privacy programs, and industry best practices
  •  Manages staffing coverage to ensure coverage during peak periods, planned and unplanned absences, leaves, and
    headcount vacancies, adjusting work assignments and prioritizing workloads to ensure proper coverage and timely
    completion of scanning and document retrieval
  •  Serves as a working manager, stepping in to provide handson operational support when needed, including
    performing scanning, indexing, document retrieval, quality checks, workflow coverage, and issue resolution.
  • Administers EMR access for the HIM team to ensure timely retrieval of accurate, complete patient records
    necessary for compliant DMEPOS billing.
  •  Ensures compliance with all applicable regulatory, accreditation mandates and privacy requirements, including
    HIPAA, and participates in activities related to development, implementation, and maintenance of patient privacy
    and of all Breg policies, procedures, and programs.
  • Partners with Breg Sales, Service, and customers to resolve missing documentation and intake issues,
    communicating trends, risks, and operational concerns to management to support departmental and organizational
    goals.
  • Implements process and policy changes under the direction of the Manager, Health Information Management and
    other change leaders to support continuous improvement initiatives.
  • Oversees onsite facility needs including equipment and supplies and promptly communicates operational
    disruptions (e.g., power or weatherrelated issues) to the appropriate leadership teams, including IT, Legal, and
    Facilities.
  •  Leadership responsibilities include the selection, development, performance management and continuous
    recalibration of staff; ensures appropriate staffing levels and resource allocation; performs administrative tasks
    associated with timekeeping, pay, performance, policy administration and other matters related to employment.
  • Assesses staff and provides timely and consistent feedback regarding technical proficiency and effectiveness.
    Provides constructive feedback, guidance, and reinforcement to employees regarding job performance. Works with
    staff to identify work goals and create individual development plans. Evaluates training programs to ensure content
    meets staff needs.
  • Responsible for behaving in a professional manner both internally and externally in relationships that positively
    impact the company's reputation and comply with the company's policies and practices. Responsible for being
    accountable and committed to demonstrating Breg’s cultural beliefs and achieving the key results of the company.
  • Responsible for promoting Breg's culture within the organization using established tools such as storytelling,

What You Bring

  • Associate’s degree in healthcare administration, business administration, health information technology or related
    field of study required. Experience may be considered in lieu of degree.
  • Minimum of 3 years of experience with EMRs, practice management software, and medical documentation
    required.
  • Prior supervisory or team lead experience in customer service or healthcare reimbursement strongly preferred.
  • DMEPOS experience preferred.
  • Understanding of anatomy, physiology and medical terminology required.
  • Understanding of healthcare coding and documentation guidelines and regulations.
  • Ability to be versatile, adaptable and facilitate work in a complex, fast-paced, remote, and multi-site
    environment.
  •  Computer proficient to include effective use of web browser/internet search, Microsoft (MS) Outlook, Word, Excel,
    Teams, and PowerPoint. Technical competence includes the ability to learn new software applications and
    systems.

Compensation

Salary Range: $54,400-$74,000 USD Annually. Actual compensation is determined by factors such as experience, skills, and business needs. This range reflects the minimum and maximum target range for new hire base salary/pay across all US locations. Actual pay is based on many factors unique to each candidate, including but not limited to geographical location, work experience, skill set, relevant trainings and certifications, and business needs. The base pay range is subject to change and may be modified in the future. This role may also be eligible for bonus.
