Job description

ABOUT THE JOB
We are seeking a detail-oriented, hands-on IT Hardware Procurement Coordinator to manage our day-to-day hardware purchasing operations, warehouse inventory, and deployment readiness. In this role, you will be the backbone of our tactical hardware lifecycle, ensuring seamless inventory management and timely equipment preparation. By executing these critical daily operations, you will enable the IT Hardware Operations team to scale and focus on long-term strategic initiatives, including demand forecasting, vendor negotiations, and global procurement strategy.
WHAT YOU'LL DO

  1. Daily Purchase Order Processing - Create and submit purchase orders from incoming IT support tickets (typically daily volume, need <24hr time to response)
  2. Warehouse Inventory Coordination - Coordinate with logistics team on warehouse stock levels, inventory counts, and system record accuracy; serve as procurement liaison for inventory management
  3. Deployment Preparation - Coordinate hardware pulls and staging from warehouse inventory for deployment to critical IT sites as requests come in
  4. Stock Replenishment - Monitor inventory levels and initiate replenishment orders to prevent stockouts of critical hardware
  5. Manage Procurement Queue - Review, categorize, respond to, and escalate (when necessary) hardware procurement tickets, ensuring timely routing and stakeholder communication throughout the fulfillment process
  6. Vendor Order Management - Track open purchase orders, follow up on shipment delays, resolve delivery issues, and provide status updates to stakeholders
  7. Returns & RMA Processing - Coordinate defective hardware returns, warranty claims, and vendor credit processing to ensure timely resolution and cost recovery
  8. Procurement System Data Maintenance - Update asset management and procurement systems with accurate order details, serial numbers, delivery confirmations, and inventory movements


Success Metrics: Timely PO processing (<24hrs), accurate inventory records (95%+), zero critical stockouts, hardware deployment readiness
REQUIRED QUALIFICATIONS

  • Experience with procurement systems and purchase order processing
  • Inventory management and cross-functional coordination skills
  • Detail-oriented with strong data entry and record-keeping skills
  • Ability to work independently on operational tasks
  • Familiarity with IT hardware/equipment preferred
  • Eligible to obtain and maintain a US Secret clearance
