Job description

Fountain Valley School, a selective and diverse boarding school, educates 215 students in grades 8 - 12 on a beautiful 1,100-acre campus in Colorado Springs, CO. Founded in 1930, the School provides a rigorous, global curriculum in academics, arts, athletics and the outdoors.

The Opportunity:

The Administrative Assistant of the Wellness Program reports to the Director of Wellness. Director of Wellness leads the strategic vision for holistic student well-being. Working with the Dean of Community Life, this individual designs, implements and oversees comprehensive programs that support the physical, mental and emotional health of the students. This role focuses on fostering a positive school culture, integrating and coordinating student support services to maximize academic and personal success. The goal is to reduce barriers to learning, prevent crises and promote a healthy, inclusive environment.

Key responsibilities include but are not limited to:

  • Greet students warmly, answer phones, respond to emails, and guide students and families through the registration process.
  • Ensure a calm, clean, and professional environment in the Wellness Center.
  • Manage Wellness Center calendars.
  • Assist Wellness Center staff with communications and weekly refills with the School’s pharmacy (collaborate with the pharmacy and parents as needed).
  • Independently coordinate appointments for the Wellness Center and off-campus student appointments. Ensure accurate collaboration with the transportation team for scheduling.
  • Assist nursing personnel with vaccine data management through the Colorado Immunization Information System (CIIS).
  • Assist nursing personnel with scheduled vaccine clinics and vaccine data management through the Colorado Immunization Information System (CIIS).
  • Monitor and order office supplies, wellness products, food supplies, and facility inventory.
  • Submit required student health charges to FVS administrative personnel (pharmacy bills and other health-related charges).
  • Coordinate with facility management for maintenance needs.
  • Coordinate and provide administrative support with FVS staff and faculty members compliance with CPR, First Aid Training and Medication Administration Training, etc.
  • Prepare required student administrative documents for student off-campus activities, provider clinics, ancillary care, and pharmacy.
  • Assist with student communication for medications, care plans, and other healthcare needs.
  • Complete Medication Administration Training (MAT) Part One and Two as needed in the Wellness Center.
  • Coordinate transportation for students to appointments and transport students, if needed.
  • Regular and reliable in-person attendance
  • Perform other duties as assigned.
  • Collaborate and manage pharmacy receipts and comply with the process for student billing.
  • Review required written communications as needed for spelling and grammar accuracy.
  • Assist the Wellness Center director with the budgeting process, organize meetings, and daily, weekly, and monthly task management.
  • Build and foster healthy relationships with the students and parents.

  • Manage databases for all required FVS employee health training.

Qualifications:

  • Must possess a valid driver's license and/or obtain a Colorado license within 30 days of hire.
  • High school diploma or GED required. Associate’s or Bachelor’s degree in Business Administration, Healthcare Management, or a related field preferred.
  • Minimum of 2 years of administrative, medical, or wellness-related experience. Experience in an independent boarding/day school environment is preferred.
  • Colorado Immunization Information System (CIIS) related experience.
  • Colorado School Health Care Regulations related experience.
  • Experience with an organization’s budgeting.

Working Conditions:

  • Environment: office and working with some outdoor events
  • Physical demands: able to sit and stand for at least 8 hours per day; must be able to lift 25 lbs.
  • Proficiency in Google Educational Suite Apps, Maintain X, and Microsoft Office Suite, Google Workspace, SWAY, REACH, Blackbaud, and SchoolDoc.

Salary: $24.00 - $26,00 per hour, based on experience.
