Payroll Project Inc. employs around 125 people across the cannabis industry. We are the outsourced staffing, payroll, and accounting arm of a fast-growing group of related cannabis companies. We provide these companies with full-time employee placements in cannabis production, retail, and administrative roles.

Payroll Project Inc. is part of a group of related companies (client entities) in the cannabis sector. This Accounting Manager position will support the financial operations of these client entities. As a group of companies, our primary focus is on the middle vertical: cannabis manufacturing through retail. The right candidate for this role will feel equally at home rolling up their sleeves to manage day-to-day accounting operations, oversee reconciliations and financial reporting, and support payroll and compliance, as they do developing and improving accounting processes and financial controls.

About the Role

We are seeking a detail-oriented, self-directed Accountant to manage daily operations and lead our accounting team across a complex, multi-entity cannabis retail and manufacturing organization. In this role, you will lead the month-end close process, maintain robust accounting systems, and ensure the accuracy and timeliness of all financial reporting.

You will serve as the primary in-house, day-to-day accounting leader navigating multi-entity consolidations, cash-heavy retail operations, and complex tax regulations. This position offers direct mentorship from the COO (formerly the CFO) on advanced cannabis tax strategy, multi-entity accounting, and our structured internal task management systems.

  • Feel Goods: A cannabis production company
  • Mint Cannabis Co. :A premium cannabis retail dispensary chain with 2 locations
  • Broadway Cannabis Market: A cannabis retail dispensary chain with 6 locations
Key Responsibilities
  • Team Leadership & Management

    • Supervise, mentor, and develop a hybrid team consisting of a local Accountant and a remote Accounting Assistant.

    • Delegate tasks, establish performance goals, and direct daily workflow using established ClickUp task management systems.

  • Accounting Operations & Multi-Entity Management

    • Oversee daily A/P, A/R, and general ledger operations across multiple corporate entities and retail locations.

    • Manage complex intercompany transactions, overhead location allocations, and consolidated reporting.

    • Partner with HR on payroll processing by calculating commissions and SPIFs, tracking multi-entity liabilities, and posting QBO journal entries.

    • Manage inventory cost accounting, aligning operational systems with the general ledger to maintain accurate COGS.

    • Execute cash management processes including retail safe counts, cash-in-transit (Empyreal), ATM surcharges, and daily bank reconciliations.

    • Lead month-end and year-end closes while running a weekly soft close on revenue and COGS to support Free Cash reporting.

  • Financial Reporting, Tax & Compliance

    • Prepare financial statements, budgets, and cash flow forecasts for executive review.

    • Ensure all financial procedures comply with GAAP and internal controls.

    • Liaise with external CPA firms and tax attorneys for schedule preparation, documentation, and filing strategies.

    • Oversee local, state, and federal tax filings, focusing on state Marijuana Taxes, excise taxes, and property taxes.

    • Execute accounting strategies for complex tax regulations, including IRC Section 280E and 471(c) cost accounting.

  • Process Improvement & Controls

    • Enforce documented accounting and capitalization policies.

    • Enhance internal controls to protect company assets, focusing on retail cash and inventory.

    • Identify opportunities to streamline workflows, increase efficiency, and implement automation.

Qualifications
  • Education: Bachelor's degree in Accounting, Finance, or a related field (Required).

  • Experience: 5+ years of progressive accounting experience, with leadership experience or readiness to step into a management role. (Cannabis experience is not required; candidates with rigorous backgrounds in complex retail, manufacturing, or multi-entity environments are encouraged to apply.)

  • Technical Skills:

    • In-depth understanding of GAAP with the ability to operate autonomously as a department leader.

    • Advanced proficiency in QuickBooks Online (QBO), including multi-entity setup.

    • Advanced Excel/Google Sheets skills (complex formulas, data manipulation).

    • Familiarity with operational software is a plus: Paragon/iSolved, Dutchie, Roshi/METRC, and automated data entry tools (SaasAnt, Hubdoc).
