Job description

BCforward is currently seeking a highly motivated Legal Assistant II for an opportunity in Phoenix AZ 85004!

Position Title: Legal Assistant II

Location: Phoenix AZ 85004

Anticipated Start Date: ASAP

Expected Duration: 5+ Months Contract with the possibility of extension

 

Job Type: Onsite

 

Pay Range: $18.00/hr.- $18.60/hr.

Please note that actual compensation may vary within this range due to factors such as location, experience, and job responsibilities, and does not encompass additional non-standard compensation (e.g., benefits, paid time off, per diem, etc.).

Job Description:

We are seeking a Legal Assistant II to join our dynamic team within the Appellate Services Administration (ASA) of the Department of Economic Security (DES). The ideal candidate will have strong experience in legal case support, document management across multiple systems, and administrative hearing preparation and a proven ability to analyze complex appeals, assemble accurate hearing exhibits, and meet strict statutory deadlines. This role is primarily virtual with required in-person presence four times per month on scheduled days. Initial training will be fully onsite, with potential transition to a hybrid schedule of one remote day per week after training.

 

Responsibilities:

·       Verify incoming appeals for jurisdiction, timeliness, and completeness in accordance with Federal and State laws.

·       Retrieve, review, and select accurate exhibits for hearings; create comprehensive hearing packets for Administrative Law Judges (ALJs) and all parties.

·       Enter case documentation and notes into designated repositories and case management systems.

·       Assist ALJs with case research, including review of statutes, rules, and procedural histories; interpret procedures for analysis of case files.

·       Schedule hearings for ALJs and manage elevated docket calls with customers and stakeholders.

·       Upload legal decisions and dispositions to enable departmental actions on cases.

·       Process postponements, withdrawals, and related party or ALJ requests accurately and on time.

·       Identify and escalate matters to the Board of Appeals as required by policy and procedure.

·       Identify and correct errors; locate and virtually print missing documents to complete case files.

 

Required Skills & Qualifications:

·       Proficiency with Google Workspace (Gmail, Docs, Sheets), Microsoft Office, and Adobe Acrobat; ability to run multiple programs simultaneously.

·       Strong analytical and critical thinking skills to assess complex appeals, reconcile conflicting information, and capture pertinent legal details.

·       Experience organizing and maintaining confidential paper and electronic files; adherence to office security procedures and confidentiality policies.

·       Knowledge of Arizona Public Assistance and Unemployment Insurance law, practices, and procedures; familiarity with the Administrative Procedures Act.

·       Effective verbal and written communication with internal and external customers, ALJs, coworkers, agency personnel, supervisors, and managers.

·       Ability to perform detailed, repetitive work with accuracy and speed while meeting legally mandated deadlines.

·       Experience with case management systems such as APS, Clear2There, Guide mainframe, HEAplus, AZTECS, and CACTUS.

 

Preferred Skills:

·       Legal education or mid-level legal background.

·       Experience supporting administrative hearings or appellate services environments.
