GENERAL JOB DESCRIPTION
The Administrative Assistant will provide support for the Basic Law Enforcement Training (BLET) and Law Enforcement Inservice Programs. The individual is responsible for providing daily office support, which requires computer work, filing, attention to detail, and professional customer service skills. The individual will also support the team with technology and communication efforts. This position reports to the BLET Director.
QUALIFICATIONS
Required:
  • Associate degree or higher or equivalent work experience (will consider a degree in progress)
  • One year of secretarial or clerical work experience

Preferred:
  • Experience in the law enforcement field
  • General Instructor's Certification
  • Bachelor's degree
  • Notary Public

ESSENTIAL JOB FUNCTIONS
  • Provide administrative support for the BLET Director/Law Enforcement Training Coordinator and the Qualified Assistants.
  • Maintain accurate student rosters and records.
  • Maintain accurate instructor records.
  • Track attendance and enrollment changes.
  • Monitor student eligibility requirements.
  • Maintain documentation and files required by the NC Criminal Justice Education and Training Standards Commission.
  • Prepare and organize BLET pre-delivery and post-delivery documentation.
  • Verify instructor credentials, including General Instructor, Specialized Instructor, and CPR certification.
  • Maintain instructor qualification files.
  • Manage ACADIS documentation and record verification.
  • Ensure compliance with Commission rules and reporting requirements.
  • Prepare graduation documentation.
  • Coordinate award information and certificates.
  • Prepare reports, mail, data, and other documents as necessary.
  • Build curriculum and continuing education law enforcement training courses.
  • Ensure confidentiality in all matters.

OTHER DUTIES
  • Utilize written and oral communication skills when completing job functions.
  • Maintain strong organizational skills and be timely.
  • Effectively communicate with the faculty, staff, and students.
    • Provide clerical support for the Basic Law Enforcement Training program to include the following responsibilities:
    • Prepare and mail pre- and post-delivery reports for commission-mandated courses
    • Prepare completions for SCC and send to the registrar
    • Attend/Complete minutes for Advisory Meetings
    • File instructor/student files, ensuring commission-mandated documents are present (this will be checked by the School Director and BLET QA)
    • Review/proof various documents before dissemination
    • Prepare name cards for students
    • Prepare certificates for students as needed
    • Update/add information in Colleague as needed
    • Prepare BLET packets
    • Communicate effectively with students, potential students, instructors, and staff in a professional manner in all modes of communication
    • Work with the School Director to complete necessary tasks as they arise
    • Scan current/previous class documents for electronic storage
    • Perform other duties as assigned.
