Medical Office Receptionist
Beacon Behavioral Health Partners
Reports To: Office Manager or Program Director
Position Summary
  • The Medical Office Receptionist supports the front desk and daily administrative operations of Beacon's outpatient behavioral health program
  • This role creates a welcoming and professional experience for patients, families, visitors, providers, and team members
  • The Medical Office Receptionist supports patient communication, scheduling, check-in and check-out, documentation, office organization, and coordination with the clinical and administrative team
  • Supports Clinical staff when needed - Medical Assistant Experience highly preferred
Key Responsibilities
  • Greet patients, families, visitors, and team members in a professional, welcoming, and service-oriented manner
  • Answer, screen, and route incoming phone calls, messages, emails, and general inquiries
  • Support patient scheduling, appointment confirmations, cancellations, and rescheduling
  • Assist with patient check-in and check-out processes
  • Collect, verify, scan, upload, and maintain patient forms, demographic information, insurance information, consents, and other required documentation
  • Support intake, admissions, referral, and new patient coordination activities as needed
  • Maintain accurate patient, office, and administrative records in accordance with company procedures
  • Coordinate communication between patients, families, providers, clinical team members, and administrative staff
  • Monitor front desk activity and escalate patient, scheduling, service, or operational concerns to the appropriate team member
  • Maintain office supplies, forms, shared spaces, and general front desk organization
  • Support billing, authorizations, insurance documentation, or related administrative workflows as assigned
  • Prepare basic reports, correspondence, spreadsheets, or other administrative documents as needed
  • Follow confidentiality, HIPAA, documentation, compliance, and company policy requirements
  • Assist with special projects, office initiatives, and other duties as assigned
Qualifications
  • High school diploma or equivalent required
  • 1-2 years of receptionist, front desk, customer service, administrative, or medical office experience preferred
  • Experience in behavioral health, healthcare, outpatient services, or a medical office setting preferred
  • Strong communication, customer service, organization, and follow-through skills
  • Ability to manage multiple priorities in a busy office environment
  • Comfortable using computers, phone systems, email, scheduling tools, and electronic records systems
  • Ability to handle confidential information with professionalism and discretion
  • Dependable, detail-oriented, patient-focused, and team-oriented
Preferred Experience
  • Medical Assistant
  • Experience supporting a behavioral health or healthcare office
  • Familiarity with patient scheduling, intake paperwork, insurance information, or electronic health records
  • Experience working with patients, families, providers, and referral partners
  • Bilingual skills preferred, based on program and market needs
