Office Administrator
Position Type: Regular, Year-Round
Schedule: Monday–Thursday, 30–35 hours per week
Location: In person only, Eagle River AK
Reports To: Office Manager/Owner
Position Summary
Extreme Construction & Maintenance is seeking a highly organized, dependable, and self-motivated Office Administrator to support the daily operations of our growing construction company. This position requires the ability to work independently, prioritize multiple responsibilities, and maintain confidentiality while ensuring office operations run efficiently.
The ideal candidate is detail-oriented, proactive, and comfortable managing a variety of administrative, HR, accounting, billing and project support functions with minimal supervision.
Essential Duties and Responsibilities
Administrative
  • Manage daily office operations and administrative tasks.
  • Answer phones, respond to emails in a professional manner.
  • Organize and maintain electronic and paper filing systems.
  • Prepare and organize correspondence, reports, and company documents.
  • Maintain company records and ensure document accuracy.
Human Resources
  • Assist with recruitment, applicant screening, interview scheduling, and onboarding.
  • Prepare new hire and termination paperwork.
  • Maintain employee personnel files and HR documentation.
  • Track employee and contractor certifications, licenses and required compliance.
  • Ensure compliance with company policies and employment documentation.
Accounting & Financial Support
  • Prepare customer invoices and documentation backups for manager review.
  • Track accounts receivable.
  • Record expenses and assist with job cost tracking.
  • Maintain vendor records and process invoices.
  • Monitor office expenditures and maintain accurate financial records.
Construction Operations Support
  • Track project expenses and budgets.
  • Assist with job documentation and project files.
  • Coordinate permits, subcontractor documentation, and compliance paperwork.
  • Monitor rental agreements and monthly payment tracking.
  • Support General Contractor and Field Lead with administrative needs.
Compliance & Auditing
  • Audit employee paperwork for completeness and accuracy.
  • Ensure required company documentation remains current.
  • Maintain organized records for insurance, licensing, and regulatory compliance.
  • Assist with internal audits and process improvements.
Qualifications
  • Minimum of 3 years of administrative experience; construction office experience preferred.
  • Experience with Microsoft Office (Word, Excel, Outlook).
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to prioritize competing tasks and meet deadlines.
  • High level of professionalism and confidentiality.
  • Strong attention to detail and accuracy.
  • Maintain reliable attendance and adhere to established work schedules.
