The Fundraising Operations Manager plays a pivotal role in upholding that standard by overseeing the systems and processes that power WCK's gift processing, donor acknowledgments, and financial reconciliation. This leader ensures that every contribution - whether large, small, recurring, or made in honor of someone, is processed swiftly, accurately, and with unwavering respect for donor intent.
The Manager supervises and mentors a high-performing team that handles gift entry, acknowledgments, donor support, matching gifts, and pledge follow-up. They set clear priorities, manage daily workflows, and foster a culture of accuracy, accountability, and continuous improvement. This role is responsible for timely gift posting across Salesforce and Sage Intacct; maintaining and refining acknowledgment and tribute processes; managing the relationship with WCK's lockbox/caging vendor; and ensuring WCK's fundraising operations remain compliant, efficient, and donor-centered.
This position also drives operational excellence through regular quality assurance checks, updated SOPs, and targeted process improvements. The Manager identifies opportunities to streamline and automate workflows, enabling the team to scale effectively as WCK grows. Working collaboratively across Development, Finance, and Donor Relations, this leader helps ensure WCK's fundraising infrastructure remains strong, adaptable, and aligned with best practices.

WHAT YOU WILL DO
Responsibilities include team leadership, donor data integrity, reconciliation support, process improvement, and cross-functional partnership with Development teams.
  • Oversee the strategic and day-to-day operations for receiving, recording, and stewarding donations, ensuring accuracy, compliance, and efficiency across all fundraising processes.
  • Coach Specialists in quality standards and introductory people-management responsibilities.
  • Manage the full lifecycle of gift processing, from receipt of donation through acknowledgement and reconciliation, ensuring accuracy and adherence to policies and donor intent.
  • Develop team priorities, oversee workflows, and ensure accountability for accuracy, timeliness, and donor satisfaction.
  • Ensure timely and accurate gift entry, batching, and posting to Salesforce and Sage Intacct. Establish and maintain quality standards for gift revenue and assist with financial reconciliation and gift entry reporting.
  • Manage the relationship with the lockbox/caging vendor, optimizing workflows and troubleshooting issues as needed.
  • Maintain SLAs for donor response inquiries received via email, phone, postal mail and other fundraising platforms.
  • Maintain and update standard operating procedures (SOPs) for all team workflows.
  • Oversee acknowledgements to refine and maintain efficient processing and delivery of donor acknowledgements and receipts. Ensure timely and accurate fulfillment of Tribute and In Honor of gift requests.
  • Manage the individual matching gifts process and coordinate closely with the corporate matching gifts team to ensure timely processing and tracking.
  • Oversee the research of aging pledge commitments.
  • Conduct regular quality assurance checks on data, processes, and workflows to maintain compliance and improve efficiency.
  • Identify, scope, and implement process improvements and automation that enhance the donor experience.
  • Lead and implement process changes to enhance the team's effectiveness and scalability.
  • Maintain current knowledge of fundraising platforms and giving channels used by WCK donors; share best practices across teams.

Requirements
  • Minimum of 5+ years of progressive experience in fundraising gift processing and donor support, including at least 3 years in a supervisory role.
  • 2+ years of customer service experience, ideally within a nonprofit environment.
  • 3-4 years experience gift entry in Salesforce NPSP.
  • Proven ability to supervise, lead, and communicate clearly within a team setting.
  • Strong understanding of the complexities of high-volume, multi-channel giving.
  • Direct experience with gift entry, data file processing, and data uploads.
  • Demonstrated ability to organize and prioritize work, delegate tasks appropriately, and solve problems through analysis and interpretation of information.
  • Excellent written and oral communication skills, with exceptional business writing and proofreading expertise.
  • Proficiency with Excel and/or Google Sheets, and Microsoft Word.
  • Strong commitment to accuracy, timeliness, clarity, and attention to detail.
  • Demonstrated flexibility, eagerness to learn, and comfort with ambiguity in a fast-paced environment.
  • Enthusiasm for exploring new technologies and methods to improve results.
  • Comfortable with ambiguity and responsive to production challenges
