About the Department:

The Fund Development department aims to develop and implement strategies to increase the funding income of Islamic Relief through a range of fundraising initiatives and through the acquisition and retention of donors, volunteers andcommunity supporters

Job Purpose:

  • This position will work directly under the Regional FD Manager. He/she will be responsible for supporting the fulfillment of the organizational objectives of developing and optimizing community fundraising and volunteer initiatives

  • This position will be the point of contact and representative of IRC with their regional volunteer teams.

Essential Duties & Responsibilities:

  • Community Relations

    • Manage mosque and community events and relations

      • Organize Jummah or Taraweeh collections for campaigns.

      • Distribute material for specific campaigns at mosques and other gatherings (Ramadan, Qurbani, Emergencies)

      • Set up fundraisers at mosques and in the community to raise funds and awareness

    • Maintain existing donor and stakeholder relationships within an allocated area of the region.

    • Support the development of new relationships and partnerships that contribute to regional fundraising objectives.

    • Support mosque and community fundraising activities, including Jummah, Taraweeh, Ramadan, Qurbani, emergency, and other campaign collections.

    • Coordinate the distribution of campaign and promotional materials at mosques, events, and community gatherings.

    • Support the organization of fundraising initiatives that increase donations and awareness of Islamic Relief Canada's work.

    • Work toward assigned fundraising targets while ensuring that activities provide an appropriate return on investment.

    • Support the formalization of partnerships by following organizational protocols, including Memorandums of Understanding and service agreements when required.

    • Respond to inquiries related to regional fundraising activities and campaigns.

    • Provide regular performance, activity, and fundraising updates to the Regional Fund Development Manager.

    • Support the promotion of approved Islamic Relief Canada campaigns, activities, and appeals through appropriate regional communication channels.

  • Financial Administration, Deposits and Expenses
    • Coordinate the accurate counting, recording, reconciliation, and preparation of donations collected through regional events, mosque collections, campaigns, and other fundraising activities.

    • Ensure that cash, cheque, credit card, and other donation records are properly documented and submitted in accordance with Islamic Relief Canada's financial policies and procedures.

    • Prepare and process regional deposits accurately and within the required timelines.

    • Maintain complete records of deposits, donation forms, collection reports, deposit slips, and supporting documentation.

    • Reconcile donation records with event reports, collection totals, donor information, and payment-processing records, and promptly investigate any discrepancies.

    • Manage and reconcile expenses charged to organizational credit cards, ensuring that receipts, invoices, business purposes, approvals, and supporting documents are submitted on time.

    • Track regional expenditures and maintain organized records of purchases, reimbursements, invoices, and credit card transactions.

    • Coordinate regularly with the Finance Department regarding deposits, donations, expenses, reimbursements, invoices, coding requirements, outstanding documentation, and financial discrepancies.

    • Follow up with regional staff and relevant stakeholders to obtain missing receipts, donation information, approvals, or other required financial documentation.

    • Support the Regional Fund Development Manager in monitoring regional budgets, event expenses, fundraising revenue, and financial reporting.

    • Ensure that all financial records and donor information are handled accurately, securely, and confidentially.

    • Follow all organizational policies relating to cash handling, financial controls, expense authorization, donor privacy, and fraud prevention.

  • Event Planning and Execution

    • Support the planning and execution of regional fundraising events, campaigns, tours, and community activities in consultation with the Regional Fund Development Manager.

    • Represent Islamic Relief Canada professionally at organizational and community events.

    • Ensure that appropriate fundraising materials, equipment, signage, donation-processing tools, and supplies are available for events.

    • Coordinate the loading, delivery, setup, collection, and return of materials and equipment for regional activities.

    • Maintain an appropriate inventory of fundraising and promotional materials.

    • Complete required event documentation, including collection reports, expense records, attendance information, and post-event summaries.

    • Assist with other fundraising activities taking place within the region as required.

  • Volunteer Support
    • Coordinate volunteers required for regional fundraising events and campaign activities.

    • Provide volunteers with clear event instructions, assigned responsibilities, and appropriate organizational guidance.

    • Support volunteer participation during larger Islamic Relief Canada events, challenges, campaigns, and tours.

    • Maintain appropriate volunteer communication relating to scheduled activities, assignments, and event requirements.

    • Ensure volunteers follow Islamic Relief Canada's policies, procedures, and standards of conduct while representing the organization.

    • Maintaining supplies of fundraising/promotional materials at all times

Qualifications & Competencies

  • Experience:

    • Experience in fundraising, administration, project coordination, event coordination, or a related field.

    • Experience handling financial documentation, deposits, expense records, invoices, or credit card reconciliation.

    • Experience coordinating multiple activities, campaigns, or events simultaneously.

    • Experience working with donors, stakeholders, staff, volunteers, or community organizations.

    • Experience maintaining accurate records and meeting administrative and financial deadlines.

  • Knowledge, Skills and Attributes:

    • Knowledge and understanding of the local region and community

    • Excellent interpersonal skills and ability to motivate and manage volunteers

    • Excellent communication skills Excellent presentation skills

    • Strong motivation and empathy toward the aims and objectives of the organization

    • Numerical skills, the ability to work accurately under pressure and pay attention to detail

    • Ability to represent Islamic Relief in a wide range of situations

    • IT literate with ability to use Google Suite, databases and project management tools to deliver on KPIs

    • Strong organizational skills i.e. ability to prioritise and plan work, set and achieve deadlines, establish and maintain monitoring systems etc.

  • Other:

    • Current local driving license and access to a vehicle

    • Have a flexible approach to work in order to accommodate events, functions and work activity

    • Willingness to travel nationally at short notice

Hybrid Work Policy:

IRC has a hybrid model where in-office requirements are based on distance from our Burlington headquarters or a regional office (Surrey, Edmonton, Calgary and Ottawa). Depending on where you live, this can range from two days a week to one day a month.

Starting Salary:
