Job description

Lake Elmo Bank is looking for a detail-oriented and organized Administrative Assistant - Marketing & Events, to support our Marketing department. This role is a great fit for someone who enjoys administrative work, coordinating details, supporting events, communicating with others, and helping projects stay on track in a professional, community-focused environment.

POSITION OVERVIEW:

  • Regular part-time or full-time hourly position, 32 or 40 hours per week. On-site in Lake Elmo, Minnesota.
  • Reports to Vice President, Marketing
  • Occasional evening and weekend hours required to prepare for or attend bank-related events.
  • Local travel to Oakdale and Stillwater locations required for bank-related errands and events. Mileage reimbursement is available.

The Administrative Assistant - Marketing & Events provides administrative support to the Vice President - Marketing and assists with department projects, communications, events, records, invoices, and day-to-day coordination.

ESSENTIAL DUTIES:

  • Provide administrative support, including scheduling meetings, preparing correspondence, organizing files, and maintaining department records.
  • Assist with planning and coordinating customer, employee, and community events.
  • Prepare, proofread, organize, and distribute print and digital materials.
  • Maintain marketing calendars, communication schedules, project lists, and tracking documents.
  • Process donation requests, invoices, expenses, and related documentation.
  • Order and track supplies, event materials, promotional items, and corporate merchandise.
  • Support website, SharePoint, e-newsletter, and social media updates as needed.
  • Prioritize tasks, follow up on open items, and support department deadlines.
  • Perform other administrative, clerical, marketing, and event support duties as assigned.

 

QUALIFICATIONS:

  • High school diploma or equivalent required; additional education preferred.
  • Administrative assistant, office support or customer service experience required.
  • Experience with documents, records, schedules, invoices, and multiple priorities in an office environment required.
  • Banking, financial services, community relations, or event support experience a plus.
  • Ability to maintain confidentiality and handle information professionally.
  • Position requires a current drivers’ license and occasional use of your personal vehicle to travel to Oakdale and Stillwater locations for local Bank related errands and events. (Typically 20-30 mile radius from the Lake Elmo location). Mileage Reimbursement is available.

REQUIRED SKILLS:

  • Strong organization, time management, and follow-up skills.
  • Clear written and verbal communication skills.
  • Proficiency with Microsoft Word, Excel, Outlook, Teams and PowerPoint.
  • Attention to detail and accuracy.
  • Ability to manage multiple tasks and work independently.
  • Professional, flexible, and customer-focused approach.
  • Willingness to assist with event preparation and occasional support for off site events.

Salary Range: $19.54 -$29.36 per hour depending on experience and qualifications.
