JOB SUMMARY: The Event Support Coordinator serves as the primary point of contact for event support services at the College, overseeing the successful execution of campus events from initial planning through post-event follow-up. This role manages a high volume of event activity-over 2,000 events annually-reserving campus spaces, coordinating support services, and serving as the key liaison between event organizers and campus service providers. The coordinator also supervises student event support staff and helps maintain consistent, professional event operations across campus. Requires nights and weekend work. This position reports to the Senior Director of Event & Conference Services.
Employment Status: Full-time (1.0 FTE), Exempt, and Benefits-Eligible
Salary Range: $45,000-$52,000 annually

MAIN RESPONSIBILITIES:
Event Planning & Space Reservations
- Receive, review, and process event space/room reservations and support requests (tech, set-up, dining)
- Reserve campus spaces in alignment with reservation priorities, facility guidelines, building usage policies, and event requirements
Service Coordination
- Coordinate setup, catering, technology, custodial, safety, and other facility support throughout the event planning lifecycle
- Serve as the primary liaison between event organizers and campus service providers, ensuring event requirements are clearly communicated, coordinated, and delivered on schedule
On-Site Event Support
- Act as the on-site operations host for events planned by off-campus groups or involving a large number of off-campus attendees providing outstanding hospitality to on-campus and off-campus event planners
- Coordinate on-site event support for day of event needs related to technology, facilities setup, catering, or other support services, troubleshooting issues as they arise
Student Staff Supervision
- Supervise, train, and schedule student event support staff to ensure consistent high quality hospitality service
Systems and Calendar Management
- Maintain accurate and up-to-date event and reservation data within the College's event management and room scheduling systems (Info SCS/ReServe)
- Manage and maintain the College's centralized events calendar
Quality and Continuous Improvement
- Conduct post-event evaluations and recommend improvements to enhance service delivery and operational efficiency
Prerequisites
MINIMUM QUALIFICATIONS:
- 2-4 years of experience in event management, customer service
- Strong customer service, relationship-building skills, and hospitality mindset
- Experience working with cross-functional teams and with multiple stakeholders
- Strong organizational and project management skills
- Attention to detail with a commitment to high-quality execution
- Creative problem-solver with the ability to manage multiple priorities in a dynamic environment
- Ability to learn event software, basic event technology, and Google Suite tools
- Interest in contributing to growth and external engagement
