Maintenance Supervisor Responsibilities
The Maintenance Supervisor performs administrative and operational duties that support efficient fleet maintenance, repair coordination, parts inventory management, vehicle documentation, and transportation equipment compliance.
This role works closely with mechanics, operations leadership, vendors, and drivers to help ensure company vehicles and equipment remain properly maintained, documented, and operational.
Key responsibilities include:
Fleet Maintenance Coordination
  • Schedule and assign daily repair and maintenance jobs
  • Coordinate work with the Lead Mechanic and Director of Operations
  • Review DVIR reports and red-tagged equipment
  • Ensure parts availability for repair orders
  • Receive and process repair orders from mechanics and parts staff
  • Verify repair documentation for completeness and accuracy
  • Calculate labor hours for completed repair work
  • Clarify repair details directly with mechanics when necessary
  • Enter handwritten repair orders into company computer systems

Parts and Inventory Management
  • Assist in maintaining proper inventory levels for fleet parts
  • Support fleet parts database and inventory software systems
  • Ensure inventory accuracy and organization
  • Receive parts shipments and stock the parts room
  • Perform data entry related to parts inventory and purchasing

Vehicle Registration and Compliance
  • Obtain and distribute vehicle registrations, titles, and renewals
  • Maintain registration renewal databases and reminders
  • Ensure vehicles maintain proper documentation and compliance records
  • Organize vehicle insurance cards and registration paperwork

Administrative and Office Support
  • Scan and file pre-trip and post-trip inspections
  • Answer and direct incoming phone calls
  • Perform filing, faxing, copying, and general office support
  • Communicate with vendors and service providers regarding repairs and returns
  • Maintain fleet maintenance tracking systems
  • Match invoices to purchase orders and resolve discrepancies
  • Obtain missing invoices, credits, and repair documentation
  • Manage vehicle fleet transactions including:
    • DMV transactions
    • Vehicle citations
    • Fuel card coordination
  • Coordinate preventative maintenance appointments and scheduled fleet service

This role supports the daily operations of a fast-paced transportation and fleet maintenance department.
