Position Title Office Manager Unit Name MUW Police Salary Grade 3 Number of Months 12 months Full-time or Part-time Full-Time Hours per week 40 Proposed Annual Salary, Hourly Rate or One-time payment Essential Duties
  • Takes mail and picks up mail at campus post office. Stamps, sorts and distributes mail.
  • Edit and disseminate police incident reports to university Cabinet.
  • Supervise and evaluate the work of dispatchers.
  • Maintain personnel files, training records, daily records of calls for service.
  • Issue parking decals and parking rules/regulations to MUW students, faculty and staff.
  • Process tickets written by MUW police officers and maintain ticket file.
  • Issue student, faculty, and staff identification cards, as well as the Mississippi School for Math and Science, and summer programs (i.e,. Governor's School).
  • Manage Police Department office (i.e. fielding complaints, giving directions, answering phones, dispatching as needed, etc.)
  • Maintain inventory, sign equipment in and out to officers and dispatchers, order equipment and supplies as needed.
  • Collect, calculate, and enter payroll data and attendance/leave records.
  • Maintain Access Control.
  • Schedule, facilitate, and record rulings of Traffic Appeals Committee Meetings and enter rulings in Banner.
  • Serve as Notary Public for the MUW Police Department and campus community.
  • Collect and organize the National Incident Management System (NIMS) certificates required of Crisis Action Team (all Cabinet members, Physical Plant, Law Enforcement, etc.)
  • Compile statistics for annual Clery Act reporting.
Minimum Qualifications
Education:
  • High school diploma or GED required.

Experience:
  • Minimum of 2 years experience in an office setting required with at least 1 year experience in a public-contract occupation.
  • Proficient in Microsoft Office, Banner Web, Excel, and PowerPoint and be willing to learn other job related software.
  • Ability to work well under stress and be available for work (emergency or fill-in) as needed.
  • Emergency Dispatch Certification required or obtained within 2 years.
  • Notary Public Commission or obtain upon hire.
  • Excellent communication and customer service skills.
  • Highly organized with attention to detail.
  • Conflict resolution.
