Intake Coordinator

Location: This is an onsite position at our Cherry Creek Office

Compensation: $20- $23/hour

Employment Type: W2, Full-Time, Non-Exempt

Schedule: Monday-Friday 8:00 AM-5:00 PM or 9:00 AM-6:00 PM


Denver Wellness Associates is a dedicated mental health clinic focused on providing compassionate, high-quality care to individuals in need. Our team is committed to fostering a supportive environment where patients can achieve their mental health goals.


We are looking for a motivated and organized Intake Coordinator to be the first point of contact for new patients and facilitate their journey into our care.


Job Summary:

The Intake Coordinator is a key role in our clinic, responsible for managing the initial contact with prospective patients, guiding them through the intake process, and ensuring a smooth transition into our care services. The ideal candidate will have strong organizational skills, a compassionate approach, and the ability to handle sensitive information with discretion.

Responsibilities:

Patient Intake and Assessment:

  • Conduct initial intake conversation with prospective patients, collecting and documenting essential information.
  • Assess patients' needs and determine in conjunction with clinical staff appropriate services and resources based on their mental health requirements.
  • Review and verify patient insurance information and eligibility, including assisting with pre-authorizations if necessary.

Administrative Support:

  • Schedule initial appointments and coordinate with clinical staff to ensure timely access to care.
  • Maintain accurate and up-to-date patient records in compliance with HIPAA regulations and clinic policies.
  • Prepare and process intake paperwork, including consent forms and other necessary documentation.

Communication and Coordination:

  • Serve as one of the primary contacts for prospective patients and their families, addressing inquiries and providing information about clinic services.
  • Collaborate with clinical staff to ensure that new patients are smoothly integrated into the clinic's care system.

Patient Engagement:

  • Provide a supportive and empathetic experience for patients during the intake process.
  • Offer resources and support to patients as they navigate the initial steps of their mental health care journey even if they are outside the scope of Denver Wellnessโ€™ practice.
  • Follow up with patients to confirm appointment attendance and address any concerns or barriers to care.

Quality Assurance:

  • Monitor and evaluate the effectiveness of the intake process, recommending improvements when necessary.
  • Ensure compliance with clinic policies, regulatory requirements, and best practices in patient intake and care.
  • Assist in gathering and analyzing data related to patient intake and appointment metrics.

Other Duties:

  • Support special projects and initiatives as needed.
  • Perform other related duties as assigned by the office manager and clinical director.
  • All other duties as assigned.

  • Compensation: $20- $23 per hour; paid bi-weekly

Requirements:

Qualifications:

  • High school diploma or equivalent; Associateโ€™s or Bachelorโ€™s degree in healthcare administration, social work, or a related field preferred
  • Proven experience in a healthcare or mental health setting, with a focus on patient intake or customer service
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills, with the ability to engage effectively with diverse populations
  • Experience with electronic health record (EHR) systems.
  • Knowledge of mental health terminology and insurance processes is a plus
  • Ability to handle confidential information with discretion and maintain HIPAA compliance.
