The Department of Anesthesiology, Perioperative and Pain Medicine is seeking a motivated and professional Academic Administrative Program Coordinator to plan and execute a variety of academic and educational programs within the Department . In this role, you will ensure goals and objectives are met and in accordance with established criteria. Interpret program policies and advises program participants on the application of regulations. Facilitate communication and collaboration between members of the department, institution, and other related organizations. May also include complex faculty support and program record keeping responsibilities under the direction of the education program leadership and department administrative leadership.

Responsibilities
Essential Responsibilities
  1. Coordinates day-to-day operations of the education & residency programs
  2. Provides administrative support for Program Director, Associate Programs Director, and Trainees
  3. Assists with program committees (program evaluation committee, clinical competence committees, etc.)
  4. Coordinates with Associate Director of Education and Program Manager to update program policies and other materials as needed to be compliant with ACGME/GME office
  5. Assist's trainees with program policies and procedures
  6. Coordinates with Associate Director of Education to update competency-based rotation goals and objectives
  7. Executes program letter of agreement (PLA) between programs and participating sites
  8. Assists with producing and distributing annual rotation schedule and changes including entering and updating in relevant systems
  9. Assists with producing, distributing, and coordinating didactic conference schedule
  10. Coordinates program events
  11. Proctoring of annual specialty in-training examination
  12. May communicate with specialty board, specialty societies, and other organizations
  13. Works with GME office to ensure trainess compliance with medical and controlled substances licenses, DEA numbers, TB tests, computer training modules, and RQI
  14. Reports on call meal money for trainees to the GME office
  15. Assists with updating ACGME Annual Program Review with Associate Director of Education and Program Manager
  16. Monitors trainees work hours, runs monthly work hour violation report and assist Program Director with reporting violations
  17. Assists with trainee recruitment
  18. Manages reimbursements and travel for trainees
  19. Processes procurements for the program and for trainees

Minimum Qualifications
Bachelor's degree in a related field or equivalency (one year of education can be substituted for two years of related work experience), plus one year of directly related experience
Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

Preferences
  • Previous GME experience.
  • Knowledge of the following applications/websites: Medhub, ACGME, ERAS, NRMP, and SF Match.
  • Understanding of the Accreditation Council for Graduate Medical Education (ACGME) requirements for Institutional, Common, and specialty program requirements and the accreditation process.
  • Superior organizational skills.
  • Excellent communication and interpersonal skills including written and verbal.
