Job description

JOB DESCRIPTION

Job Title: Chief Operations Officer

Reports to: Chief Executive Officer

Status: Full Time

Position Summary: The Chief Operations Officer oversees and/or supervises the coordination, administration and logistics of Kids’ Orchestra, Inc. (KO) including fiduciary, technology, and personnel responsibilities. Additional duties may be assigned by the CEO based on candidates’ interests, skills, and qualifications. Priority consideration will be given to candidates who apply by Wednesday, May 27th.

Requirements: Minimum of bachelor’s degree in business, education, music, or related fields. Master’s Degree preferred. Must possess outstanding interpersonal and verbal communication skills and an ability to effectively communicate with and/or lead staff, faculty, school administration, and site staff. At least 3 years of experience in nonprofit or other business operations. Must be proficient in Microsoft Office Suite and cloud-based services such as Microsoft SharePoint and Google Drive. Experience with CRM tools such as Jackrabbit Class desired.

Essential Duties and Responsibilities

Kids’ Orchestra Operations

  • Developing long-term operational strategies, setting goals, and ensuring alignment with overall business objectives as a member of the Leadership Team
  • Identifying and implementing processes, financial, and technology improvements to enhance efficiency, quality, and organizational operations
  • Gathering, analyzing, and interpreting data to track performance, identify trends, and make informed decisions
  • Oversee execution of all MOUs with relevant partners (school districts, vendors, guest artists, etc.) in partnership with the CPO

Fiduciary Duties

  • Assist CEO and Leadership Team with creation of annual KO budget
  • Oversee spending, tracking of expenses, and cash flow projections for relevant organizational budgets
  • Oversee expense approvals and invoices for KO operations; maintain accurate records of such
  • Financial reporting and artifact collection for grants and proposals in partnership with the CAO
  • Ensure compliance with relevant laws, regulations, and industry standards, in accordance with GAAP principles.

Supervision of Staff

  • Supervise duties of Office Manager, Instrument Specialist, HR Specialist; supervise any assigned program associates/interns as appropriate
  • Oversee operations duties assigned to other office staff (snack, transportation, tuition, etc.)
  • Oversee rhythm calendar meetings and schedule where appropriate

Human Resources

  • Manage application and onboarding of all independent contractors (payroll, background checks, Child Abuse Prevention Training, CPR Training)
  • Oversee application and on-boarding of all W-2 employees
  • Oversee payroll
  • Assist or lead interviews where appropriate
  • Maintain strong relationships and communication with relevant partners
  • Oversee all personnel files
  • Ensure compliance with relevant laws, regulations, and industry standards. 

Student Services Platforms (in partnership with the Program Team)

  • Oversee student applications via Jackrabbit or other applicable CRM software for all KO programs
  • Oversee the plan for receiving and processing student applications
  • Oversee accurate registration/enrollment files in all online platforms
  • Oversee student tuition invoice and payment process (in partnership with Office Manager)

Office Operations

  • Supervise communication between building owners and KO and maintenance, repairs, etc.
  • Manage contract and price negotiations with office vendors and service providers (Gulf Coast Office Products, Microsoft, IT Management Company, Broadvoice, etc.)
  • Maintain office communication apps (Teams)
  • Maintain organization and cleanliness of common work and storage spaces in office
